Deliverables <br />Conceptual designs and cost estimates for near-term enhancements <br />Back-up documents that support each recommended measure <br />Task 5 - Project Management <br />The City will identify a City Project Manager who will maintain communication with <br />internal City divisions and departments as well as external stakeholders. This assures <br />that a consistent message is shared with all interested parties in the project, both <br />internally and externally. Consultant will always work in tandem with the City's Project <br />Manager. Clear understanding of roles and communication protocols will be determined <br />at the kick-off meeting. <br />Consultant's Project Manager, Ms. Ruta Jariwala, will maintain close communication <br />with the City's Project Manager by personal contact, telephone, written communications, <br />and meetings. Ruta, as well as other key team members, will meet with the City's <br />Project Manager monthly to discuss project issues, status, schedule, budget, and <br />invoicing items. This will ensure that our "no surprises" goal is maintained and the City <br />is thoroughly aware of all aspects of the project. <br />Consultant will maintain regular contact with City staff to ensure clear communication on <br />project tasks, products, meetings, and schedule. Specifically, we will: <br />• Hold scheduled conference calls to review project status and discuss key issues. <br />During these calls, we will discuss various project deliverables including <br />workshop agendas, workshop summaries, proposed alternatives, preferred <br />alternative, draft plan, and final plan documents. <br />• Participate in additional calls and meet with City staff, as needed, at key stages <br />during the planning effort to review key ideas, products, deliverables, project <br />status, and overall project direction and budget. <br />• Manage all aspects of the project to maintain project schedule and budget, <br />maintain continuous liaison with the City and other stakeholders. <br />Deliverables <br />Monthly progress status updates which include: progress of work; status of public <br />involvement; updated project schedule; information/decisions required to <br />maintain schedule and complete deliverables; problems encountered that may <br />affect schedule; budget or work products and anticipated work products for the <br />following month. <br />Monthly invoices following the City -provided template <br />Compilation of public comments received <br />Quality Control Plan and copies of Quality Control Reviews <br />Page 13 of 15 <br />REV: 11-18-16 VR <br />ATTY/AGR2016.322/TJKM- Neighborhood Street Enhancement Program <br />
