REPOR

January-24,2000

Subject
Advertisement for bids - Civic Facilities Elevator Maintenance Service

Recommendation
Adopt a Resolution approving the contract documents entitled, "Contract Documents-
Elevator Maintenance Services for the period of March 30, 2000 through March 30,
2001", and authorize the advertisement for bids.

-Background
Several elevators have been added to the City's inventory over the past 12 years. Prior
to 1986, there were no elevators in City buildings, except for a small dumbwaiter type
lift located at Schaberg Library, used to move books between the basement and the
main floor. Beginning with the construction of Fire Station 9 in 1987, elevators have
been included in all facilities over one story tall. In addition to Fire Station 9, there are
now elevators located in the Main Library, the Parking Structure, the Police Facility, the
Senior Center Annex and City Hall. Sandpiper Community Center has a wheel chair lift
in the multi purpose room to allow a wheel chair to be raised to the stage from the floor
level.

--~,,'

These eleven elevators require specialized maintenance and periodic safety re-
certification by trained service personnel. Currently, there are several elevator
maintenance service contracts that cover only the elevators in a particular facility, rather
than having a master contract that covers all of the elevators regardless of the facility
they are in. It will be financially prudent to have one maintenance contract cover all City
elevators, rather than multiple contracts covering specific elevators. The term of the
agreement will be for an initial twelve (12) month period, with the provision that upon
written agreement of the parties, the term of the agreement may be extended for
additional periods of one year each up to four extensions.

-

Fiscal Impact
Sufficient funding has been appropriated in the Facilities Maintenance and Repair
Ope ating budge (780-67242) t provide for this expense.

~~

Ed Everett
City Manager

--" T
