<br />~ D-l <br /> <br />REfDORT <br /> <br />To the Honorable Mayor and City Council <br />From the City Manager <br /> <br />March 27, 2000 <br /> <br />Subject <br />Execution of Agreement - Civic Facilities Elevator Maintenance Services <br /> <br />Recommendation <br />Execute an Agreement with the firm of D & D, The Elevator Company, of San Francisco, <br />California, in the amount of $15,480.00 to be invoiced in 12 equal monthly installments of <br />$1,290.00 to provide maintenance services for the 11 elevators located in seven City buildings <br />for the period of one year and direct the return of bidders bonds. <br /> <br />Background <br />On January 24, 2000, the City Council authorized advertising for bids for elevator maintenance <br />services for various City buildings. Bids were opened at the City Clerk's office on Wednesday, <br />February 23,2000. Below is a summary of the bids received: <br /> <br />BIDDER BID AMOUNT <br />San Francisco Elevator of San Francisco, CA $ 1030.00 per month <br />D & D, The Elevator Company of San Francisco, CA $ 1290.00 per month <br />Star Elevator Company of Redwood City, CA $ 1370.00 per month <br />Thyssen Dover Elevator Company of Hayward, CA $ 1470.00 per month <br />National Elevator Company of Pleasanton, CA $ 1530.00 per month <br />Hy Tech Elevator of South San Francisco, CA $ 2075.00 per month <br /> <br />The firm of San Francisco Elevator company provided the lowest bid, but is considered non- <br />responsive for not submitting the required Bid Bond as well as the required Addendum. The <br />next lowest bidder is D & D, The Elevator Company. The term of the contract is for an initial <br />one year period with provisions for up to four extensions upon written agreement of the parties. <br />A complete copy of the agreement is available for review in the City Clerk's office. <br /> <br />Alternative <br />The alternative to entering into this agreement is to reject these bids and direct staff to find <br />alternate ways of maintaining the elevators in City buildings. <br /> <br />Fiscal Impact <br />Sufficient funding has been appropri ted in the Facilities Maintenance and Repair Operating budget <br />(780-67242) to provide for this ex nse. <br /> <br /> <br />OU <br /> <br />Ed Everett <br />City Manager <br /> <br /> <br />I'~" <br />
