REPORT

To the Honorable Mayor and City Council
From the City Manager

July 24, 2000

Subject
2000-2001 Asphalt Materials Purchase

Recommendation
By Resolution, accept the bid and approve the purchase of the 2000-2001 Asphalt Materials
Purchase to Graniterock of Redwood City, CA, in the amount of $75,835.00 and reject all other bids.

Background
The asphalt products purchased under this agreement are used for the City's street maintenance
activities and the Capital Improvement Project paving prepwork activities.
On May 24,2000, staff sent out bids to three suppliers. On June 21,2000, one bid was received
and opened in the City Clerk's Office:

BIDDER
Graniterock, Redwood City, CA
Engineer's Estimate $74,500.00

PRICE
$75,835.00

Graniterock's bid is 1,8% above Engineer's Estimate. Graniterock has supplied asphalt materials
for Redwood City in the past and has been very responsive. The location makes it the most
desirable plant for our maintenance crews to use.

Alternative
There are no real alternatives to this supplier. The material is needed and this vendor is the most
accessible asphalt product supplier to Redwood City.

Small purchase orders will be established with two other asphalt material suppliers in order to
ensure asphalt material availability in the event of a rare Graniterock plant shutdown.

Fiscal Impact
Funds in the amount of $66,593.00 have been approved in the 2000-2001 Public Works Services
Streets and Parking Lots Maintenance budget. Staff will use $55,000 of this amount towards the
Graniterock purchase. The remaining $20,835 will be utilized from the Roadway Maintenance
System (RMS) Capital Improvement budget. The purchases will be managed within the approved
budget for each activity.

\. ¡ I'
/.PLH:'~-
Gordon Mann
Public Works Superintendent

Peter Ingra
Director, Pub! c Works Services

Otu i/-

Ed Everett
City Manager

" .

Attachment
none

.~.._.._- r
