1 <br /> REPORT <br /> To the Honorable Mayor and City Councii <br /> From the City Manager <br /> August 14, 2000 <br /> Subject <br /> City Hall Data Center and Public Works Services replacement of existing Server Hardware <br /> Recommendation <br /> That the City Council authorize the purchase of 12 Compaq servers from Compaq DIRECT in <br /> the amount of $86,667.12 (including sales tax) from the State of Califomia Office of Procurement <br /> under the California Multiple Award Schedule (CMAS) 3-98-70-0037C. <br /> Background <br /> In 1995, IT (Information Technology) deployed the first desktop email system throughout the <br /> organization. The user base has grown substantially since then, and currently we have over 450 <br /> users on the email system and there are over 500 desktops in operation. <br /> At the time when desktop operations began, we put together several clone (inexpensive, low- <br /> grade) servers. At present, we have seven clone servers providing client server services such <br /> as email, central storage of user documents, printing, and Enterprise Fax. These servers are <br /> running over peak capacities resulting in slower access to network applications for our users. <br /> The inexpensive servers have also posed some major reliability issues where we have had to <br /> maintain and monitor the systems closely for smooth operations. As a result of our diligent staff <br /> and expertise, we have been able to maintain an uptime of over 99.97 % on our network. <br /> However we can no longer guarantee such uptime with the existing server infrastructure. <br /> These new servers will allow us to provide our users nefinrork reliability, faster access to network <br /> applications running on Windows NT operating system, and more storage capacity for user data. <br /> Nine servers will be located in City Hall and three at the Municipal Services Center for Public <br /> Works Services. Not replacing these servers at this time could expose the city to the risk of <br /> unplanned downtime and the attendant disruption to a heavily relied upon communication <br /> system. <br /> The price reflects a 15% discount through the State of California Contract with Compaq <br /> Computer Corporation. <br /> Fiscal Impact <br /> Funds have been allocated in the FY 2000-01 capital budget in the amount of $61,939.57 for <br /> the City Hall purchase, and in the FY 2000-01 operating budget in the amount of $24,727.55 for <br /> the Public Works purchase. <br /> � � � /�^ <br /> � � , ``'�< <` - �E,�' — <br /> George W.
