REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br /> <br />December 18, 2017 <br />SUBJECT <br />Amendment No. 2 to Agreement for Professional Services with Bellecci & Associates for <br />the Middlefield Road Joint Trench Project <br /> <br />RECOMMENDATION <br />By motion, approve and authorize the City Manger to execute Amendment No. 2 to the <br />Professional Services Agreement with Bellecci & Associates in the amount of $157,423, <br />for a total contract amount of $518,190, for the Middlefield Road Joint Trench Project <br /> <br />BACKGROUND <br />On March 9, 2015, the City Council authorized the City Manger to execute an <br />Agreement with Bellecci & Associates for engineering services in the amount of <br />$327,970 for the Middlefield Road Joint Trench Project, and authorized the City <br />Manager to augment the scope of the Agreement up to a cost amount not to exceed <br />$360,767. <br /> <br />On August 15, 2017 the City Manger executed Amendment No. 1 to the Agreement, to <br />to amend the scope of work, increasing the budget up to $360,767. <br /> <br />The Middlefield Road Joint Trench Project will construct the substructure facilites <br />including conduits, vaults, and junction boxes for placement of telecommunication lines <br />and equipment underground, on Middlefield Road between Main Street and Manznaita <br />Street. Existing overhead telecommunication lines and equipment will be <br />removed/relocated in the new underground facilities, and the existing utility poles will be <br />removed by the respective utility owners. <br /> <br />ANALYSIS <br />The Consultant completed the original scope included within the contract. After the work <br />was complete, some of the participating utility companies requested additional <br />modifications to the design and cost estimate calculations. The Consultant estimates <br />additional work services in an amount of $44,713 to prepare the final construction <br />documents. The final construction documents, and estimated proportionate construction <br />costs, must be approved by each of the participating utility companies. <br /> <br />Amendment No. 2 will cover the remainder of the necessary work to finalize the <br />construction documents and cost estimates to the satisfaction of all the participating <br />utility companies.
