6.1.1. - Page 31 <br />Contract #: BSA -EU -14546-15060771 <br />PROJECT 2 - SIRE AGENDA PLUS CONVERSION <br />Scope <br />Hyland will provide services to Customer to convert the SIRE Agenda Management Solution <br />Data and implement an OnBase Agenda Management solution. Services will include <br />requirements gathering where Hyland will work with Customer's business analyst and <br />agenda coordinator as well as other key subject matter experts in defining the scope of the <br />solution. <br />Hyland will install the following: (a) Three (3) OnBase Agenda Clients, three (3) OnBase <br />Minutes Clients and one (1) OnBase Agenda Online Web Servers for each of Customer's <br />environments (production and test) for subsequent phases of this project; and (b) Software <br />license which will allow the use of the respective modules. <br />Hyland will migrate the meeting type configurations selected by Customer from SIRE into <br />the OnBase Agenda system. This includes: <br />a. Meeting type properties; <br />b. Meeting tag templates; <br />c. Meeting outline content; <br />d. Meeting attendees; and <br />e. Meeting role information. <br />Hyland will also convert all meetings from SIRE into the Software for the meeting type <br />configurations that were selected for migration above. This includes: <br />a. Meeting properties (meeting name, date, location); and <br />b. Compiled meeting documents: <br />1. Agenda; <br />2. Minutes; <br />3. Action Summary; <br />4. Packet. <br />NOTE: the conversion does not brim over old individual agenda items or their attachments. <br />Items of record would be in vour actual meeting agenda and packet documents that are <br />converted. A table of what agenda data is covered is included at the bottom of this proposal. <br />The agenda conversion included in the scope of this proposal will be based on the existing <br />SIRE AgendaPlus implementation. <br />The OnBase Agenda solution will allow for the creation of agenda items in the Software and <br />can route those items through workflow for approval and ultimately mark them as approved <br />for placement on the agenda by the clerk. <br />Hyland will deliver two (2) Agenda Item Form and two (2) approval workflow.
