To the Honorable Mayor and City Council <br /> From the City Manager <br /> <br />July 1, 2002 <br /> <br />Subject <br />2002~2003 Asphalt-Concrete Materials Purchase <br /> <br />Recommendation <br />By Motion, accept the bid and approve the purchase of the 2002-2003 Asphalt-Concrete <br />Materials Purchase to Graniterock of Redwood City, CA, in the amount of $178,098.00. <br /> <br />Background <br />The asphalt products purchased under this agreement are used for the City's street <br />maintenance activities and the Capital Improvement Project paving prepwork activities. <br /> <br />On May 1, 2002, staff sent out bids to the three suppliers the City has purchased asphalt <br />materials from in the past. On May 29, 2002, three bids were received and opened in the <br />City Clerk's Office: <br /> <br /> BIDDER PRICE <br />Graniterock, Redwood City, CA ($164,525 + tax) $178,098.00 <br />Raisch Products, San Jose, CA (2 bid items omitted) $163,863.40 <br />Dumbarton Quarry, Fremont, CA (4 bid items omitted) $ 80,500.00 <br /> Staff's Estimate $170,340.00 <br /> <br />Graniterock's bid is 4.4% above staff's estimate. Graniterock has supplied asphalt <br />materials for Redwood City in the past and has been very responsive. The Redwood <br />City plant location is the most desirable plant for our maintenance crews to use. The <br />other two bidders did ~ot have all the materials available that the City uses in the <br />daily asphalt maintenance tasks - emulsion oil and sheeting to ramp sidewalk <br />defects. <br /> <br />Alternatives <br />There are no alternatives to the purchase of some of the materials that were not bid <br />on by other vendors. The asphalt paving materials can be purchased from other <br />vendors. Staff intends to set up smaller purchase orders with these vendors as a <br />back up when Graniterock is not available as a supplier in the event of a rare <br />Graniterock plant shutdown. The Redwood City Graniterock plant is the most <br />convenient asphalt product supplier for Redwood City. <br /> <br /> Page I of 2 <br /> <br /> <br />
