6.1.1-1. - Page 1 <br />REPORT <br />To the Honorable Mayor and City Council <br />From the City Manager <br />September 10, 2018 <br />SUBJECT <br />Design Services Agreement with Verde Design, Inc. for the Hoover Field Synthetic Turf <br />Renovation Project <br />RECOMMENDATION <br />By motion, approve the standard form design services agreement with Verde Design, <br />Inc. for an amount not to exceed $61,460; and, authorize the City Manager to increase <br />the contract amount up to 10% if necessary and execute any resulting amendment to <br />the agreement <br />BACKGROUND <br />The two sports fields at Hoover School are heavily used community facilities. The <br />playing fields are used year round for soccer, baseball, softball, and other field sports <br />by both the local community and visiting tournaments. The turf on both fields was <br />installed approximately eight years ago and has reached the end of its functional life. <br />The subject of this report is the contract for the design phase of this field replacement <br />project. The project contract scope includes project design and preparation of <br />construction documents, bid support, project management, and construction <br />observation for the Project. <br />Given the high level of year round use of these fields, construction will need to be <br />coordinated to minimize disruption to the community. Construction coordination and a <br />public outreach plan will be detailed after the design phase and prior to approval of the <br />construction contract. <br />ANALYSIS <br />Staff reached out to the prequalified list of Landscape Architects to submit on the <br />Request For Proposals (RFP) because the schedule to get the fields replaced early next <br />year meant that a quick reply was needed. The RFP was sent to all five firms on the list, <br />
