6. 1. C. - Page 25 <br />arrange for pump station site access to perform preventative maintenance. If the <br />Contractor is called away during the scheduled maintenance and cannot complete the <br />scheduled PM, he/she will return the next working day. <br />During the course of preventative maintenance, Contractor will immediately notify the <br />City of any emergency or immediate repairs needed to any of the pumps. <br />B. Major Repairs <br />Contractor shall provide any major pump repairs, overhauls, or direct replacement of <br />pumps which are not included under preventative maintenance. Contractor must obtain <br />written approval from the City before starting major repairs. <br />Prior to removing any equipment or performing any such major repairs or replacements, <br />Contractor shall submit to the City: <br />• a description of the work determined to be necessary, <br />• a cost estimate for such work, and <br />• an expected completion timeline. <br />Contractor shall be responsible for removing, transporting, repairing/replacing and <br />installing pumps, motors, and related equipment. The Contractor will contact the City to <br />coordinate access to pump stations. Contractor shall perform such work and provide <br />necessary parts using the prices listed in Chapter 5 of Contractor's proposal. <br />C. On-call and Emergency Repairs <br />City may request on-call repair or emergency repair services from Contractor. The <br />Contractor shall maintain a telephone number for the entire term of the agreement <br />where a designated representative can be reached 24 hours a day, 365 days a year. <br />Emergency repair and maintenance may be required at all hours, especially during the <br />winter season. Contractor will respond to emergency repair requests within 4 hours of <br />notice from the City. If City requests emergency service, the Contractor must perform a <br />site visit within 24 hours of receiving notice from the City and utilize best available options <br />to provide a timely resolution to the issue. For non -emergency repair requests, Contractor <br />will respond within 48 hours. <br />Expectations <br />A. Parts and Materials <br />Contractor is expected to maintain an inventory of common parts and materials needed <br />to maintain the City's stormwater pumps and motors. Contractor must have materials <br />needed for preventative maintenance available at all times. <br />Please describe in the Proposal, Contractor's ability and average timelines for obtaining <br />parts and materials. <br />PUBLIC WORKS SERVICES DEPARTMENT <br />FY2017-18 STORM PUMP PM AND ON-CALL REPAIR RFP 12 of 23 <br />
