-EPORT To the Honorable Mayor and ity Council
- From the C,ty Manager

September 23, 2002

Subject
2002-2003 Trucking and Hauling Service

Recommendation
By Motion, approve the specifications, accept the bid, and award the 2002-2003 Trucking
and Hauling Service to Greg's Trucking of San Mateo, CA, in the amount of $62,200.00
and reject all other bids.

Background
This contract provides hauling services for the City's Municipal Services Center (MSC)
waste, recycling, and construction materials purchases. Materials are purchased by the
City and transported into the MSC by the trucking service. The same truck is loaded so
waste and recycling can be hauled to the appropriate disposal site. This trucking service
can also be used to supplement the City's trucking needs while performing utility repairs or
paving projects. The contract will cover the period following Council approval through June
30, 2003.

The bid specifications contain the provision for the City Manager to extend the contract for
one additional year at the same prices if agreed upon by the vendor and the City in wdting
30 days prior to the end of the contract. The extension will be based upon a satisfactory
review of the contractor's performance, the City's needs, and the appropriation of funds by
the City Council.

On August 1,2002, staff sent out bid proposals to ten trucking firms. On August 21,2002,
two bids were received and opened in the City Clerk's Office:

BIDDER PRICE
Greg's Trucking, San Mateo, CA $62,200.00
M. Victor Trucking, Belmont, CA $62,700.00
Staff Estimate $62,500.00
Average bid $62,450.00

Greg's Trucking bid is 1% below staff's estimate. Greg's Trucking provided the trucking
services for Redwood City during FY 00-01 and was very responsive. The firm has
adequate trucks available and will be able to meet the needs of the City for delivering
material purchases and transporting waste and recyclables to the appropriate disposal
sites.

Alternatives
- Three alternatives were considered to approving this contract:
