<br />Mr. Charles Jany, AICP <br />July 30, 2006 <br />Page 2 <br /> <br />8) Preparation of and/or assistance with the preparation of all written communications <br />between the City and the applicant. <br /> <br />9) Coordination of and participation in up to two (2) meetings with other interested parties, <br />including adjacent property owners or businesses, and responsible regional or State <br />agencies. <br /> <br />10) Coordination of communications (including preparation of written materials) with other <br />interested parties, including adjacent property owners or businesses, and responsible <br />agencies. <br /> <br />11) Preparation of letters and memoranda as necessary to outline the project status or <br />review comments. <br /> <br />12) Preparation and/or assistance with the preparation of staff reports to the City's <br />Architectural Review Committee, Planning Commission, and City Council. <br />13) Attendance at up to two (2) meetings each with the City's Architectural Review Board, <br />Planning Commission, and City Council, as required. <br /> <br />This proposal is intended to address work anticipated to be conducted over a six month period, at <br />the discretion of the City of Redwood City. Work would primarily occur off-site, and we would be <br />readily available to meet at City Hall or elsewhere as needed during the course of the project. <br /> <br />Personnel <br /> <br />Dain Anderson will serve as MHA's project manager, and Jennifer Cutler and Julia Cheney will <br />provide support services. Roger Luc, MHA's document manager and graphics specialist, will <br />prepare appropriate graphics for the IS/MND, as well as coordinate the IS/MND's printing and <br />distribution. Resumes are attached. <br /> <br />Billing and Project Cost <br /> <br />Work will be billed at the rate of $145.00 per hour for Mr. Anderson and $80.00 for Ms. Cutler and <br />Ms. Cheney, billed in quarter-hour increments. All hours worked will be accounted for in detail and <br />invoiced to the City on a monthly basis. Expenses incurred in the performance of this work, <br />including but not limited to printing and copying, photo processing, etc., will be invoiced to the City <br />at no additional mark-up. No mileage or travel expenses are anticipated. <br /> <br />Initial project costs are estimated at $31,3453. MHA will solicit a scope and budget from Hexagon <br />Transportation Consultants, Inc. to prepare a transportation and traffic analysis of the proposed <br />project for incorporation into the IS/MND. At this writing, based on our experience with projects <br />similar to the type proposed, as well as with our past relationship with Hexagon Transportation <br />Consultants, Inc., we would estimate that the transportation and traffic analysis would add <br />approximately $11,500 to the estimated budget. <br /> <br />A detailed budget is attached with this letter3. The project estimate is not, however, intended to be <br />a "not-to-exceed" figure, as project and process complexities, and the final number of meetings <br />required, cannot be predicted with certainty. If, at any point during the course of our services the <br />actual expenditures approach the estimates outlined in this letter and attached detailed budget, <br />MHA will advise the City of the potential need for a budget amendment. <br /> <br />3 Not including the transportation and traffic analysis. <br />
