<br />MIG, Inc. <br />City of Redwood City <br /> <br />The Forum at Redwood City <br />2006-2007 series <br /> <br />Letter of Engagement <br />Page 2 of 3 <br /> <br />. <br /> <br />Work with the City to identify and select the topics and potential speakers for the forums; <br />Invite and confirm the guest speakers, including convincing them to waive their speaking <br />fees (all of the speakers thus far have agreed to do so on account of their relationships with <br />Kristen Pickus and Bruce Liedstrand; we assume that this will continue for the 2006-2007 <br />series), coordinating with them about their presentation, assisting with travel arrangements, <br />and securing and editing their bios; <br />Prepare and update a simple email flier to be used as an invitation to each forum, including <br />information about the speaker and the proposed presentation; <br />Work with the City to coordinate meeting logistics as needed; <br />Work with the City to identify, invite and confirm a guest introducer to provide speaker <br />introductions the night of the event (if needed); <br />Prepare meeting materials including an agenda, sign-in sheet, evaluation form and (if <br />available) a flier on the forum for the following month; <br />Facilitate (if needed) and staff the forums, including handling registration procedures at the <br />event and taking notes on the presentation; <br />Prepare a brief written summary of the forum presentation; <br />Prepare additions to the email mailing list; and <br />Draft speaker thank you letters for the City and/or Communities By Design to sign. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />. <br /> <br />City responsibilities: <br />. With guidance from MIG, coordinate all logistics for the forums, including securing meeting <br />location, making catering and/ or dinner arrangements, and securing any needed audio-visual <br />equipment (it is assumed that the City will pay for any costs incurred for any of these items); <br />· Pay for speaker travel expenses as needed; <br />· Working with MIG, maintain a current email mailing list; <br />· Distribute the invitation fliers and email invitations; <br />· Collect and process any registration money from the Forum; <br />· Duplicate any handout materials; and <br />· Assist with on-site logistics the day of the event. <br /> <br />COST ESTIMATE FOR EACH ADDITIONAL FORUM: <br /> <br />Professional Time: ...... ....... ....................................................... ... .... $3,246. 00 <br /> <br />Direct Costs: ........... ............... ...... ............. ...... ......... ...................$180. 00 <br /> <br />TOTAL PER FORUM ........................................................................... $3,426.00 <br /> <br />TOTAL COST FOR EIGHT (8) ADDITIONAL FORUMS: ..................... $27,408.00 <br /> <br />The budget listed above reflects a not-to-exceed fee.
