(CherryRoad), Core Business Technologies (Core), and ADP <br />for New Financial and Human Capital Management (HCM) Software and Services as part of the City's <br />Enterprise Resource Planning (ERP) Replacement <br />RECOMMENDATION <br />By motion, approve and authorize the City Manager to execute an agreement with CherryRoad, for the <br />implementation and support of Oracle Fusion Cloud Financials and Human Capital Management cloud <br />software suite, for a contract amount of $4,889,068, and authorize the City Manager to increase the <br />contract amount, if necessary for additional support and services, up to 10% of the agreement amount, <br />not to exceed $5,377,975, for a five-year term. The agreement contains an annual renewal provision after <br />the initial five-year term ranging from $395,514 to $428,117 per year. Staff's intent is to return to the City <br />Council for approval of an additional five-year term, pending successful implementation. <br />STRATEGIC INITIATIVE <br />Government Operations <br />BACKGROUND <br />On April 8, 2019, staff presented the City Council with a comprehensive update on the ERP vendor <br />selection process and the proposed phased approach to implementation of the various systems. The City's <br />current Enterprise Resource Planning (ERP) system was developed over 30 years ago, and includes critical <br />functions such as Budgeting and Reporting, Business License Tax, Finance, Grant and Project Tracking, <br />Human Resources/Payroll, and Utility Billing. <br />Staff also provided background on the contract negotiations, and the recommended approach to bringing <br />the various systems to the City Council for approval at a staggered timeframe. <br />After an extensive review process, The City's negotiating team has finalized negotiations with all vendors. <br />On March 3, 2019, the City executed a one-year trial software and services agreement with HdL for <br />Business License Tax and TOT software and services, for compliance tracking and online payment <br />City of Redwood City 1017 Middlefield Road, Redwood City, CA. 94063 Tel: 650-780-7000 www.redwoodcity.ore <br />108 <br />
