Number: 002 <br />Name: Organizational Change Management and Plan <br />Stage: 1 — Planning & <br />Track: 4 — OCM <br />Type: Deliverable <br />Discovery <br />Description: The purpose of this 002 Organizational Change Management Plan deliverable is <br />to define the approach, resources and schedule for each major component within the <br />Organizational Change Management (OCM) implementation track that will be used to manage <br />organizational change to support the City. Major OCM components include leadership support, <br />department readiness, and communications. <br />Sub-Deliverables/Milestones: There will beasingle002Organizational Change Management Plan <br />deliverable completed during Phase 1, which will apply to all phases of the project. The deliverable <br />will not be repeated in Phases 2 and 3. <br />Format: Microsoft Word <br />Redwood City Role: The City will be responsible for completing the following tasks related to <br />this deliverable: <br />• Participate in 002 Organizational Change Management Plan work sessions <br />• Identify City communication vehicles available to the project team <br />• Participate in the creation of the deliverable <br />Upon completion of the plan, the Redwood City OCM lead will be responsible for facilitating the day to <br />day work. <br />CherryRoad Role: CherryRoad will be responsible for completing the following tasks: <br />• Facilitate the 002 Organizational Change Management Plan work sessions <br />• Facilitate the creation of the deliverable <br />Upon completion of the plan, the CherryRoad OCM Lead will review plan progress and provide <br />guidance. <br />Acceptance Criteria: The 002 Organizational Change Management Plan will establish the <br />following for change management components for the City implementation project: <br />1. Scope of Organizational Change Management work <br />2. Leadership Support <br />3. Readiness (Working with leadership and departments) and Gap Analysis (skills, structure, <br />personnel) <br />4. Communications <br />Regarding communications, the plan will define the scheduled one—way and two—way <br />communications and will minimally include the following key variables associated with each form <br />of communication: <br />1. Activity <br />2. Target Audience <br />3. Objective <br />4. Key Messages <br />5. Development Owner <br />6. Delivery Owner <br />7. Transmittal Option(s) <br />8. Frequency <br />Deliverable/Milestone Assumptions: <br />1. Upon completion of the plan, the City OCM lead will be responsible for facilitating the day to <br />day work, and the CherryRoad OCM Lead will review plan progress and provide guidance <br />2.
