A.4 Organizational Change Management Deliverable Definitions <br />Three (3) of the twenty-eight (28) deliverables reside in the Organizational Change Management <br />Implementation Track. <br />1. 001 Stakeholder Analysis <br />2. 002 Organizational Change Management Plan <br />3. 003 Operations & Maintenance Plan <br />The deliverable definitions for each of the three (3) Organizational Change Management <br />Implementation Track deliverables are included below. <br />Number: 001 <br />Name: Stakeholder Assessment <br />Stage: 1 — Planning & <br />Track: 4 — OCM <br />Type: Deliverable <br />Discovery <br />Description: The identification and qualification of City employees and external stakeholders, at <br />all levels, who may have an interest or connection with the project. This list will be used to <br />schedule, draft, and distribute relevant messages and informational activities throughout the <br />project. Stakeholders will be assessed in terms of their "Interest' and 'Influence" regarding the <br />Oracle Cloud ERP project. This qualification will help the project team focus and engage with <br />those stakeholders deemed critical to project success. <br />Sub-Deliverables/Milestones: There will be a Stakeholder Assessment deliverable for each project phase, <br />resulting in the following sub -deliverables: <br />• 001.1 Stakeholder Assessment - Phase 1 <br />• 001.2 Stakeholder Assessment - Phase 2 <br />• 001.3 Stakeholder Assessment - Phase 3 <br />Format: Microsoft Word, Microsoft Excel <br />Redwood City Role: The City will be responsible for completing the following tasks related to <br />this deliverable: <br />• Identify City and external stakeholder roles <br />• Identify City employees in each role, by department <br />• Identify external stakeholders by role <br />• Lead assessment of stakeholder 'Interest' and "Influence" <br />• Participate in necessary stakeholder interviews <br />• Create deliverable <br />CherryRoad Role: CherryRoad will be responsible for completing the following tasks: <br />• Draft assessment framework (Spreadsheet) <br />• Support the population of the stakeholder spreadsheet <br />• Support the assessment of stakeholder `Interest" and 'Influence" <br />• Support stakeholder interviews <br />• Review deliverable and provide feedback to the City <br />Acceptance Criteria: The deliverable will be complete when the stakeholder spreadsheet is <br />populated and an agreed upon reasonable number of stakeholders identified to be deemed <br />necessary for engagement throughout the project. A summary assessment document (Word) will <br />be drafted collaboratively by the OCM team describing how to engage the "necessary" <br />stakeholders throughout the project. <br />Deliverable/Milestone Assumptions: <br />1. The City will identify and qualify key stakeholders from each department in specified roles, and <br />external stakeholders as appropriate. <br />2.
