The RFP was posted on the City's website and emailed
directly to nine contractors. On July 1, 2019, staff had received proposals from Pump Repair Service
Company (Pump Repair) and Commercial Pump & Mechanical, Inc.
Staff evaluated proposals based on several factors, such as cost, quality, and completeness of proposal,
proposer's qualifications and experience record, and timeliness of service. Based on this evaluation, staff
recommends approval of an agreement with Pump Repair. The City has worked with Pump Repair in the
past and found their services satisfactory.
The proposed not -to -exceed contract amount of $145,612.48 is comprised of $7,150 for preventative
maintenance, with the remaining amount ($138,462.48) allocated for any unexpected repairs of pumps
or motors. This contingency amount is an estimate of repairs that may arise throughout the contract and
will be paid based on actual work performed. Staff also recommends authorizing the City Manager to
extend the agreement for two additional, consecutive two-year terms, for an aggregate not to exceed
amount of $728,062.40, as calculated in the table below.
FISCAL IMPACT
The amount is budgeted in the Fiscal Year 2019-20 operating budget for Public Works Services.
ENVIRONMENTAL REVIEW
This project is categorically exempt under California Environmental Quality Act (CEQA) Guidelines, section
15301, "Existing Facilities," which allows for maintenance and repair of existing facilities involving
negligible or no expansion of the use of the existing facilities.
City of Redwood City 1017 Middlefield Road, Redwood City, CA. 94063 Tel: 650-780-7000 www.redwoodcity.org
129
7e!r
7(in
Term Length
years)
Amount
ginal Agreement)
1
$145,612.48
2
2
$291,224.96
3
2
$291,224.96
Total Contract Amount
$728,062.40
129
