6.D. - Page 2 of 38 <br />ANALYSIS <br />On May 17, 2019, PWS released a Request for Proposal (RFP) for preventative maintenance, and on-call <br />repair of the City's water pumps and motors. The RFP was posted on the City's website and emailed <br />directly to nine contractors. On July 1, 2019, staff had received proposals from Pump Repair Service <br />Company (Pump Repair) and Commercial Pump & Mechanical, Inc. <br />Staff evaluated proposals based on several factors, such as cost, quality, and completeness of proposal, <br />proposer's qualifications and experience record, and timeliness of service. Based on this evaluation, staff <br />recommends approval of an agreement with Pump Repair. The City has worked with Pump Repair in the <br />past and found their services satisfactory. <br />The proposed not -to -exceed contract amount of $145,612.48 is comprised of $7,150 for preventative <br />maintenance, with the remaining amount ($138,462.48) allocated for any unexpected repairs of pumps <br />or motors. This contingency amount is an estimate of repairs that may arise throughout the contract and <br />will be paid based on actual work performed.
