Project Documentation — Consultant will host a website with collaboration tools <br />specifically for each project. All project participants, including Consultant and <br />City staff, have access to the collaboration tools. <br />Project Management — Consultant will participate in regular project management <br />meetings and provide a regular (monthly) status report for the project. <br />Consultant's project manager will serve as a coach, guide, and advisor <br />throughout the project. Consultant will maintain regular communication to <br />address issues, point out risks, provide lessons learned, and ultimately work to <br />help the project be a success. Ongoing costs and effort for all project <br />management activities are built into Consultant's milestones and deliverables. <br />ERP Readiness Assessment: <br />Consultant will analyze the City's overall readiness for the Enterprise Resource <br />Planning (ERP) system. Key areas of analysis will include: <br />• Project Goals <br />• Project Scope <br />• Project Governance <br />• Implementation Approach <br />• Project Management/Change Management <br />• Training <br />• Quality Assurance <br />• Personnel Requirements <br />• Project Communications <br />After completing the assessment, Consultant will provide a brief report for the <br />City highlighting any issues and prepare recommendations and/or action plans <br />for addressing any areas that might be project risks going forward. <br />Consultant will complete the readiness assessment remotely by conducting a <br />document review of items provided by the City. <br />Process Mapping: <br />Consultant will take a lead role in identifying business process change prior to <br />ERP implementation. Consultant will facilitate business process mapping <br />sessions to document the City's current process, in the functions and processes <br />listed in the table above. <br />Process Improvement and Documentation: <br />Once maps are developed, Consultant will conduct an analysis to benchmark the <br />existing process against recognized public sector best practices and will develop <br />process recommendations for improvement. <br />Consultant will then prepare project documentation that will communicate <br />anticipated processes and overall direction for use in the City's ERP <br />Page 11 of 13 <br />AM/AGR.2019.142/GFOA — BUSINESS PROCESS IMPROVEMENT SERVICES <br />REV: 5-30-19 PR <br />ATTY/AGR.2019.142/Government Finance Officers Association Research and Consulting Center <br />
