Attachment B <br />REDWOOD CITY SCHOOL DISTRICT EXPANDED DAY <br />LEARNING PROGRAM POLICIES & PROCEDURES <br />ATTENDANCE <br />Attendance policy is dictated by the California Department of Education. Programs must <br />maintain a minimum eighty-five percent attendance rate for each of the funding streams. <br />If program attendance drops below 85% during two calendar years, (four attendance <br />periods), the grant will be recalculated and reduced. If program attendance drops below <br />75% at any of the attendance periods, the grant will be reduced accordingly. Dual funded <br />sites need to achieve 85-100% attendance in ASES and 85-100% in 21s' CCLC. <br />The state After School Education and Safety grants program requires program attendance <br />to be reported twice a year — January 31 and July 31. Providers will also submit a copy of <br />a Cityspan report verifying the numbers they submit and sign this copy of the report <br />agreeing to the reported numbers. In order to have time to review and submit the forms <br />to the state, the forms must be completed by the provider and returned to the After School <br />Coordinator two weeks in advance of the state due date. <br />ATTENDANCE FORMS ARE DUE TO THE DISTRICT: <br />January 15 — for period July 1 — December 31 <br />July 15 — for period January 1 — June 30 <br />Attendance (total students served) is calculated by adding together the number of students <br />who participated each day of the program during the reporting period. For example, if 30 <br />students participated Monday, 40 Tuesday, 35 Wednesday, 40 Thursday and 20 Friday, <br />then the total students served that week is 165. The form also asks for the number of <br />days the program was in operation during the program period. <br />For middle school programs, although the state only requires students to attend 3 days per <br />week, your attendance rate is based on a 5 -day a week program. Thus if students only <br />attend 3 days a week, you must fill the other two days with students to achieve maximum <br />attendance. <br />Each provider must keep accurate and detailed attendance records that support the <br />attendance reported to the District, the state and federal government. Records should be <br />kept for at least 5 years. These records shall be made available to the District at the <br />District's request. <br />It is the contractor's responsibility to make sure all attendance information is submitted <br />accurately and it is identical to the Cityspan system. <br />FISCAL <br />REV: 11-01-19 RL <br />ATN/AGR.2019.284/Redwood City School District (Page 10 of 13) <br />
