The priority list will also indicate which meetings will be scheduled and attended/facilitated by CirclePoint staff and which will be scheduled and attended/facilitated by City planning staff (see discussion of Uoutreachkii"below). Upon finalization of this priority list, CirclePoint will make direct contact with the affinity groups designated for a presentation by a designated member of the City or consultant general plan team ata regularly scheduled meeting of the group.) CirclePoint will provide any information gathered in this process to City planning staff as updates to the contact database. The budget assumes one CirclePoint staff member would be present to moderate up to 15 meetings, further assuming that one Hogle-Ireland staff member will also attend each meeting to provide assistance with set up, note taking, and related tasks. As the total number of meetings over the course of the outreach process would be expected to exceed 15, Circle Point's services will include preparation of an "outreach kit" and training session to enable City planning staff to independently conduct affinity group outreach. CirclePoint will provide the outreach kit and training session within 30 days of the start of affinity group outreach. CirclePoint assumes City planning staff will provide CirclePointlHogle-lreland with summaries of any meetings facilitated by City staff. CirclePoint will provide an overall summary of affinity group meetings upon completion of all scheduled meetings. For any meetings that require scheduling of a meeting room and invitations, CirclePoint assumes City planning staff will be responsible for securing the site and for inviting all attendees. CirclePoint will assist City staff with text for written or telephone invitations, with City staff taking a lead role. CirclePoint further assumes that City planning staff will make all necessary arrangements for any affinity group meetings determined to be facilitated by City planning staff itself. For affinity group meetings that do not require a meeting room or invitations (ie, facilitation/attendance at a standing meetings of an existing organization), whoever is designated on the priority list as the meeting facilitator (either CirclePoint or City planning staff) will be responsible for .all necessary meeting arrangements. 3.5 Public Workshops and Roundtables To supplement the affinity group meetings, CirclePoint will help to organize and conduct three open citywide forums. CirclePoint will help the General Plan team (City staff and Hogle-Ireland) organize, staff, and document up to three public forums. Based on direction from City planning staff, these public workshops will be arranged as follows: Wave 1: Kickoff Public Meeting at joint study session of Planning Commission and City Council Wave 2: Review of alternative scenarios at joint workshop session of Planning Commission and Steering Committee Wave 3: Presentation of preferred scenario and draft general plan elements at joint workshop session of Planning Commission/Steering Committee. Key messages for each workshop will be as outlined in Task 3.1 above.
