<br />further assumes that the wider public will be actively encouraged to attend these workshops <br />through e-notices, fliers, website .updates, and stories in local newspapers (See Tasks 3.6,3.7, <br />and 3.9 for additional detail on these media). To create an atmosphere most conducive to broad <br />participation, CirclePoint recommends that such workshops blend both plenary presentations and <br />discussion along with interactive, open-house exhibits. <br /> <br />Working with technical content provided by Hogle-Ireland and City staff, CirclePoint will work <br />closely with the city to determine the most appropriate workshop format and "treatments." This <br />will include preparing and updating a detailed, step by step workshop preparation guide that <br />assigns responsibility and dates to all key activities. <br /> <br />For all workshops. CirclePoint will prepare the workshop treatment as well as workshop agendas, <br />PowerPoint presentations in conjunction with Hogle-Ireland and City staff), comment cards, one <br />or more comment stations, and workshop summaries. CirclePoint will also prepare poster <br />exhibits for the comment stations (with technical content and input from Hogle-Ireland and input <br />from City staff) within the workshop printing allowance set forth in the budget. <br /> <br />Circle Point will also provide advice to staff on logistical arrangements such as childcare, catering, <br />giveaways, and other efforts to increase attendance, but the budget assumes that City staff will <br />execute such logistical tasks. CirclePoint's budget assumes participation of2 t03 people to help <br />staff each event. CirclePoint anticipates City planning staff and Hogle-Ireland staff will be <br />available as additional staff resources at large events. <br /> <br />SpeCific roles for each person will be clearly outlined in advance within each workshop treatment. <br />As these workshops will be held in conjunction with regularly scheduled meetings of the Council, <br />Commission, and/or General Plan Committee, CirclePoint assumes the leaders of these bodies <br />would play at least an initiating role in workshop proceedings. <br /> <br />CirclePoint anticipates it would provide lead meeting facilitation and recording services at these <br />workshops. CirclePoint assumes Hogle-Ireland and City planning staff will serve as <br />technicaVlogistical information resources at each meeting. <br /> <br />CirclePoint assumes that City graphics staff will prepare and distribute any workshop <br />announcements/invitations, including "save the date" notices that would be separate from fliers <br />and communications discussed in tasks 3.6 and 3.7 below. However, CirclePoint has included <br />the preparation of up to three engaging post-card notices as an optional task. This optional task <br />budget assumesCirclePoint would develOp camera-ready artwork and that the City will handle <br />the cost of printing, mailing and postage of any such invitations. <br /> <br />3.6 Fact Sheet and Newsletters/Updates <br /> <br />CirclePoint will prepare an engaging fact sheet at the beginning of the project that reintroduces <br />people to the General Plan, provides an overview of what's been done to date and what we still <br />need to develop, and the ways people can learn more and provide input. This piece will be <br />designed so it worksasa self-mailer and something that can be handed out at meetings and <br />posted on the webpage. Content for the fact sheet and updates will be largely derived from <br />technical information developed by Hogle-Ireland and City staff. City will be responsible for <br />distribution. <br /> <br />In addition to the initial fact sheet, CirclePoint will' prepare up to three General Plan <br />Newsletters/Updates that can be mailed (and e-mailed-- see'Task 3.7 below) to as wide a <br />distribution list as possible.
