Ma. aer <br /> <br />March 10, 2008 <br /> <br />SUBJECT <br />Award of Contract -- City Council Chamber Audio Visual Retrofit Project <br /> <br />RECOMMENDATION <br />Approve, by motion, the contract documents and award the contract for the City Council <br />Chamber AudioNisual/Broadcast Retrofit Project to the lowest responsible bidder. <br />Ceitronics. Inc. of San Jose. California, for their low bid of $307,671.79 and authorize <br />the City Manager to increase the contract amount, if necessary, up to 10% of the <br />amount awarded. <br /> <br />BACKGROUND <br />The audio/visual equipment in Chambers was refurbished in 2002. Improvements at <br />that time included the installation of semi-automated broadcasting equipment and an <br />operator's booth located in the Caucus room. The equipment is now dated and <br />unreliable. <br /> <br />The project was designed by Shen Milsom & Wilke of San Francisco. The consultant is <br />well known for this type of installation and has done work for many municipalities and <br />local high tech corporate headquarters. The design philosophy was to update all <br />equipment necessary and salvage that which we can. To improve reliability. most of the <br />wiring will be redone. The project also includes 3 flat panel displays in the lobby of City <br />Hall. These panels will be able to display a variety of programming including live <br />activities in the chamber for the benefit of overflow audiences. The improvements in the <br />design will bring the system up to a higher broadcast standard, will greatly improve the <br />overall reliability of the system, and will improve the quality of both the audio and visual <br />signals that are broadcast through the cable system within Redwood City. <br /> <br />One (1) bid was received at the bid opening on March 4, 2008. and is summarized <br />below. <br /> <br /> <br />Bid Amount <br />$307,671.79 <br />........$299.'SQO.:Qo\i.;. <br /> <br /> <br />Bidder <br /> <br />Recommended Bidder: Ceitronics, Inc. <br />$ubstantiation: Ceitronics, Inc. is the lowest responsive and responsible <br />bidder. <br /> <br />The bid of $307,671.79 from Ceitronics, Inc. is 1 % higher than the Engineer's estimate <br />of $299,500.00 for the cost of construction. Staff believes that Ceitronics' bid of <br />$307,671.79 is reasonable and responsive. and recommends awarding the contract to <br />Ceitronics, Inc. <br />
