". . <br /> <br />July 7, 2008 <br /> <br />SUBJECT <br />Authorize Agreement for Storm System Pump and Pump Motor Repair Services <br /> <br />RECOMMENDATION <br />Authorize by motion an agreement with Pump Repair Service Company of Daly City, California <br />for the not-to-exceed amount of $142,850.00 for preventative maintenance services and repairs <br />of pumps and motors for the Storm Utility System <br /> <br />BACKGROUND <br />Staff requests City Council authorization of an agreement with Pump Repair Service Company <br />of Daly City, California, for the preventative maintenance services to the storm utility system's <br />pumps and motors. Each budget cycle the Public Works Services Department compiles a list of <br />the storm system pumps and motors for scheduled maintenance. The vendor provides Public <br />Works Services with a recommendation based on a pump failure analysis and cost estimate for <br />repairs. Definitive maintenance service costs for pump or motors are determined upon <br />dismantling and inspection, and the vendor's recommendation. <br /> <br />Redwood City currently has 18 major pump stations housing approximately 36 storm pumps of <br />varying sizes throughout the City, including the new Cinema Garage pump station. Each pump <br />is controlled and operated by either electric motor or by diesel engine. These pumps require <br />routine scheduled maintenance, periodic repair, overhaul and replacement of worn parts. <br /> <br />The Public Works Service Department sent the Request for Proposals (RFP) to five (5) known <br />Bay Area firms that provide these services. Responses were received from two vendors - one, <br />Shape Inc., which declined to bid. "-'. ::. ::.'.~'.'...;.: .... . ." <br />. - . .. . . <br />... ., ,. . <br /> <br />En ineer's Estimate <br /> <br />N/A <br /> <br />Recommended Bidder: Pump Repair Service Company <br /> <br />Substantiation: Pump Repair Service Company is the lowest responsive and responsible bidder. <br /> <br />The purchase of new pumps is not induded in the proposal; however, replacing pumps is <br />considered when an assessment of a pump condition demonstrates that replacement is the <br />more cost efficient atternative to repair. Staff is recommending approval of an agreement with <br />Pump Repair Service Company based on the responsiveness of the bid and the vendor's long <br />history of good service to the City of Redwood City. The proposed agreement is for the not to <br />exceed amount of $142,850. These costs can only be determined following disassembling and <br />
