6.1C

ITT Industries' scope of services includes scheduled preventative maintenance (PM) Page 2
according to a 21-point inspection checklist specific to the submersible pumps we have
in our fleet. The firm is capable of performing repair services onsite at the lift station.
For pumps requiring shop maintenance and repair. they have the necessary equipment
to remove the pumps and can provide temporary pump replacement (rental) when
pumps are pulled from service. This ensures that the sewer system is continually
situated for optimal performance.

The proposed contract value for pump repair services reflects the estimated cost of time
and materials for basic PM and repair services. Actual costs of any pump servicing and
repair is determined once the submersible pump is removed from the lift station,
disassembled, and inspected. Therefore, depending on the condition of the pump, the
cost of repair and services as defined in the Agreement fees could change. The term of
the Agreement expires upon completion of services on all 61 pumps and motors in the
system,

ALTERNATIVES
Council could direct staff to solicit individual price quotes on an as-needed basis. The
first alternative could leave the City's system vulnerable in the event of unexpected
pump failures.

Council could direct staff to solicit these services from other vendors. However, the
history shows that additional quotes for services are not competitive, and there can be
long delays between the time a pump is pulled and returned to service in the system.

FISCAL IMPACT
Funds of $100,000 are contained in the Public Works Services Department's Fiscal
Year 2008-09 operating budget for these preventative maintenance and repair services,
augmented by $50,000 in the Sewer Fund Capital Projects budget under Pump and
Controls Replacement Program.

/J~Yk~

Marilyn Har~g, '
Public Works Superintendent

~ J3~)
LaiTY~rwacz
Public Works Services Director

Peter C.
