This task began at the same time as Task 1 was <br />initiated, and will continue until the end of the ErR process. The original budget for Task 5 was <br />$12,406, which included 8 meetings with City staff and 4 public meetings before the Planning <br />Commission and City Council (not including the scoping meeting, which was included in Task 1). As <br />of February 13,2009, RMT staff has accrued charges totaling $14,784.50. These charges include team <br />communication ($5/894.50) and 17 meetings between RMT staff and City staff ($8,890). <br /> <br />The original scope anticipated that only 4 meetings with City staff would have occurred by this point <br />in the CEQA process, which would amount to $1,680. Therefore, the number of meetings with City <br />staff has exceeded the scope by a total of 13 meetings, and work on Task 5 is over budget by <br />approximately $7,210 ($8,890 minus $1,680) based on meetings alone. <br /> <br />Additional costs have been accrued due to the need to coordinate communication with the project <br />team over the 11 months required to complete Task I, where only 5 weeks was originally proposed. A <br />total of $4,024 was budgeted for team communication throughout the entire EIR process, a quarter of <br />which ($1,006) was estimated to be required for the completion of Task 1. A total of $5,895 has been <br />spent on team communication during Task 1, exceeding the budget by $4,889. <br /> <br />Task 5 is therefore over budget by approximately $12,099 ($7,210 plus $4,889), as indicated in the table <br />below: <br /> <br />Out of Scope Tasks in Task 5 Cost <br />Task 5: Additional Meetings. Communication between RMT $4,889 <br />staff members and sub consultants in order to coordinate project work. <br /> <br />An estimated 4 meetings with City staff (two of which have already occurred since February 13, 2009) <br />and 4 public meetings before the Planning Commission and City Council remain. The estimated cost <br />for the remaining meetings is $5,912. The estimated cost of the remaining team communication is <br />$3,018.
