Consultant will prepare and distribute agendas, <br />action logs, updated project schedules, and meeting minutes. <br />Meeting Description <br />Meeting #1 The first meeting will be held at the project <br />kickoff to confirm the City’s criteria and <br />preferences for the pump station design. <br />Meeting #2 The second meeting will be held following <br />the hydrologic and hydraulic analysis and <br />physical modeling tasks. <br />Meeting #3 The third meeting will take place after the <br />draft Basis of Design and Feasibility Report <br />Submittal. <br />Meeting #4 The fourth meeting will take place after the <br />60% Initial Design Submittal. <br />Meeting #5 The fifth meeting will take place after the <br />90% Semi-Final Design Submittal. <br />Meeting #6 The sixth meeting will take place after the <br />100% Final Design Submittal. <br /> <br />Subtask 1.4 – Grant Assistance <br />Upon notice to proceed from the City, Consultant will work with the City to <br />prepare a Reporting Plan (Plan) for the HMGP-Hazard Mitigation Grant <br />Program (FEMA), detailing the outcomes and data being tracked and the data <br />needed to prepare complete and accurate reports. The City will be leading all <br />efforts in submitting quarterly reports and reimbursement requests to the grant <br />administrators (CalOES). These documents are submitted directly to the grant <br />manager with all required signatures by the appropriate authorized <br />representative(s). The Plan will outline the reporting tasks, deliverables, <br />milestones, expectations, and internal due dates for receiving the reporting <br />data, as well as the external due dates for timely submission of the quarterly <br />reports, and final closeout report. Consultant’s work on the HMGP Reporting is <br />to be billed hourly, not-to-exceed 40 hours. <br />Consultant will attend up to three (3) grant support meetings (if needed) and <br />provide any ancillary support services that may be associated with the HMGP. <br />These services will be in addition to the HMGP grant reporting services, and <br />will be billed hourly, not to exceed 20 hours. If additional support services are <br />required beyond the 20 hours budget, Consultant will notify the city and provide <br />the additional support as an additional service. <br />ATTY/AGR.2023.241/BKF Engineers (Price Tract Pump Station Design) (Page 12 of 54)
