<br />6.10 <br />Page 1 <br /> <br />REPORT <br /> <br />To the Honorable Mayor and City Council <br />From the Ci Mana .er <br /> <br />November 9, 2009 <br /> <br />SUBJECT <br />Amendment No.2 to the agreement with The Kastrop Group, Inc. for professional <br />services related to the renovation of the Main Library. <br /> <br />RECOMMENDATION <br />Approve, by motion, Amendment No.2 to the agreement with The Kastrop Group, Inc. <br />in the amount of $25,000.00 for a total contract value not-to-exceed $102,250.00. <br /> <br />BACKGROUND <br />On February 12, 2007, Council approved the original agreement with The Kastrop <br />Group, Inc., in the amount of $66,500.00, to provide design and related services for the <br />renovation of the Main Library's second floor and refurbishment of the heating, <br />ventilation, and air conditioning (HVAC) system. The original scope of work included <br />reconfiguration of existing space on the Library's second floor to accommodate Project <br />Read activities, 50 additional internet stations, and to create a new Teen area. <br /> <br />On August 27,2007, Council approved Amendment No.1 in the amount of $10,750.00 <br />which provided for supplementary design services so that 20 of the 50 internet stations <br />initially intended for the second floor could be relocated to the existing computer <br />technology lab on the first floor. The additional design work reduced demand on the <br />HVAC system, allowed for computer station configurations which accommodate multiple <br />patrons, expands seating and aisle space on the second floor, and creates a quieter <br />environment for adult computer users. <br /> <br />Design was completed by The Kastrop Group and the construction contract awarded to <br />Rodan Builders. Additional post-design services provided by the architect/designer are <br />a necessary part of construction support. The extent of support required from The <br />Kastrop Group during the construction of this project was determined at the pre- <br />construction meetings with Rodan Builders. <br /> <br />The Library will be closed to the public from November 30,2009 until January 4,2010 to <br />accommodate construction. Regulations require mechanical ventilation to provide <br />minimum supply to occupied areas. The Library will be closed during the period of time <br />that the HV AC system is expected to be non-operational and unable to provide the <br />required supply. The replacement of the HVAC system is scheduled for completion by <br />January 4, 2010 which will allow the facility to reopen for public use. The remodel of the <br />2nd floor and the computer lab are scheduled for completion by March 31, 2010. <br />
