US 101/Woodside Interchange Improvement Project Page 10 <br />The Consultant PM will be the first contact for public (non-media) questions about the project and will <br />be available to answer phone and web page requests. The PIO and Project Management Team will <br />maintain and share a log of these encounters using the email address: 84.101Reimagined@gmail.com <br />(link to the Google form). The consultant PM will consult with and inform the ESC regarding inquiry <br />themes and responses and other messaging. <br /> <br />Inquiries related to other projects in or touching the Project area will be the responsibility of the <br />sponsoring agency and the Project Team will not be attempting to speak for the other projects or <br />logging those inquiries. <br /> <br />D. OUTREACH MATERIALS AND P ROJECT W EBSITE <br />A project web page, hosted on the City’s website, will continue to be available to interested parties to <br />learn about the project and process, and to review materials such as prior presentations, factsheets, and <br />frequently asked questions. <br />The Frequently Asked Questions (FAQ) section of RWC’s Project webpage will be updated on an as- <br />needed basis with the latest information regarding project funding and ROW by City staff. <br /> <br />The web page will be updated as project materials are developed but at a minimum, the website will be <br />audited at the beginning of each Fiscal Year and refreshed. <br /> <br />The website already includes an online interface for the public to submit comments on the project <br />electronically. The messages currently go to the webmaster and are then forwarded to the City <br />PIO/Communications staff, who forward any information requests to the Project Team. This avenue has <br />not been utilized often to date, but a new process will be developed for the construction phase, as <br />public inquiries can be expected to increase. <br /> <br />VI. PROJECT CONTROLS <br /> <br />A. RISK MANAGEMENT <br />The PMT is responsible for developing and maintaining a risk register that meets the requirements of <br />Caltrans Level 3 risk assessment and includes: <br /> Risk Identification: <br />o Risk Statement <br />o Current Assumptions <br />o Status <br /> Risk Assessment: <br />o Probability <br />o Cost impact <br />o Schedule impact <br />o Phase impacted
