22 <br /> <br />Caltrans PDT Meetings/Focus Meetings: These meetings involve key members of the Project <br />Team along with Caltrans functional group representation. The specific Caltrans participants <br />will be agreed upon by both PMs to avoid wasting project funds. <br /> <br />Project Leadership Team Meetings: These meetings will begin once the Charter with Caltrans <br />is signed and will initially be for 2 hours once a month. Once the Project Team’s momentum is <br />established, these meetings will be as needed. Between the start of this contract and the <br />Charter, there will be meetings with the City’s management engaged in the Right of Way <br />acquisition. The Consultant Team will prepare agendas and produce meeting minutes for each <br />of these meetings. <br /> <br />Project Issue Focus Meetings: These will be held as needed with key Project Team members <br />and Project Stakeholders involved in the issue requiring resolution. <br /> <br />Public Events : There are no public events an�cipated during this phase of the project. Prior to <br />the commencement of construc�on, a Communica�on Plan will be developed that will outline <br />events related to the construc�on phase such as community mee�ngs and a groundbreaking <br />event. <br />7. Reports <br />Summary Report: A brief report will summarize the past activities and the future planned <br />activities. A summary of the past public participation and community engagement will be <br />prepared by the Project Communications Task Team at the end of the right-of-way and final <br />design phase. <br /> <br />
