34 <br /> <br />Boards, Commissions, and Committees Handbook| SeptemberMay 2024 2021 <br /> <br />If a member antfcipates being late to a meetfng, please notffy the Staff Liaison or the designee <br />regarding the approximate tfme of arrival. Staff will alert the Chair who may then decide to <br />rearrange the order of items on the agenda. <br /> <br />ATTENDANCE <br /> <br />All BCC members are subject to the Board, Committee, and Commission Attendance Policy <br />(Exhibit D) and are expected to attend all meetfngs as part of their service. Meetfng attendance <br />is monitored in accordance with the policy and repeated absences may resu lt in removal from <br />the BCC. If a BCC member is going to be absent from a meetfng, they should inform the Staff <br />Liaison prior to the postfng of the meetfng agenda. <br /> <br />DECORUM AT MEETINGS <br /> <br />Discourage outward signs of agreement or disagreement from the audience such as applause or <br />statements from the floor. Such demonstratfons can intfmidate those with an opposing view and <br />unintentfonally discourage open public discussion of all the issues and points of view. Limit <br />comments to the issues before the BCC. Avoid the appearance of straying from the subject or <br />“grandstanding." <br /> <br /> <br />MINUTES <br /> <br />An appointed Secretary or the Staff Liaison will prepare the minutes. Generally, these are Actfon <br />minutes, with the exceptfon of the Planning Commission. The minutes serve as the permanent <br />official record of the advisory body. The minutes should reflect the members in attendance, <br />members who were absent, a descriptfon of each agenda item and the actfon taken by the <br />advisory body. Titles of motfons and resolutfons are recorded verbatfm. In order to become an <br />official record of actfvitfes, minutes must be approved by the BCC. Minutes are normally approved <br />at the following meetfng. Amendments or correctfons may be made to the minutes in public <br />meetfngs, with the approval of the BCC. <br /> <br /> <br />9.B. - Page 42 of 53 <br />198
