<br />6 <br /> <br />Information which shall be made available to employee organizations includes <br />regularly published data covering subjects under discussion. <br /> <br />Nothing in this rule shall be construed to require disclosure of records that are: <br /> <br /> 1. Personnel, medical and similar files, the disclosure of which <br />constitute an unwarranted invasion of personal privacy or which are <br />contrary to merit system principles; <br /> <br />2. Working papers or memoranda which are not retained in the <br />ordinary course of business or any records where the public interest <br />served by not making the records available clearly outweighs the <br />public interest served by disclosure of the records; <br /> <br />3. Records pertaining to pending litigations to which the City is a <br />party, or to claims or appeals which have not been settled; or <br /> <br />4. Requiring the City to do research for an inquirer or to do <br />programming or assemble data in a manner other than that usually <br />done by the agency. <br /> <br />3.9 Unit Employee Rosters <br /> <br />The City shall supply the Association an electronic data report with the names, <br />classifications, departments, work locations, work, home, and personal cellular <br />telephone numbers on file with the City, personal email addresses on file with <br />the City, and home addresses on file with the City of all present and newly hired <br />employees in the bargaining unit on a bi-weekly basis. The employee may opt <br />out of the City’s disclosure of personal contact information on a form agreed to <br />by the City and the Association. The Association will receive a copy of completed <br />forms. <br /> <br />Within thirty (30) days of hiring a new employee represented by the bargaining <br />unit, the City will provide the Association with a list that includes each <br />employee’s employee identification number, name, job classification, <br />department, work location (title and address), work phone number (if available <br />in the payroll system), work email address (if available in the payroll system), <br />hire date, and, subject to the individual employee’s consent, the employee’s <br />home address, personal mobile number, home phone number, and personal <br />home email address. <br /> <br />3.10 New Employee Orientation <br /> <br />New employees hired and assigned to classifications covered by the bargaining <br />6.A. - Page 17 of 99 <br />24
