REV: 10-04-24 VR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />The following pages will provide details on how the Consultant will complete the following tasks <br />to perform the Services under this Agreement. The project is on Roosevelt Avenue between El <br />Camino Real and Alameda de las Pulgas. <br />Task 1 – Project Management and Administration <br />Consultant shall provide project management oversight and coordinate with the City of Redwood <br />City (City), and other stakeholders throughout the project’s duration. This includes project <br />administration, internal project coordination meetings, and quality control on our deliverables. <br />Consultant project manager shall develop and maintain a project schedule, work plan, filing <br />system, and process monthly invoices/progress reports. <br />Project meetings will be handled via conference call, except for the kick-off meeting which will be <br />held in-person. At the kick-off meeting, Consultant and City staff shall review the project tasks <br />and schedule and make appropriate adjustments if needed. <br />As needed, subconsultants shall also be included in progress meetings to facilitate the <br />coordination of their services. This task also includes effort for project coordination, invoices, and <br />overall project administration including invoicing, billing and summary reports. <br />The project QC/QA shall happen ahead of major submittals to review overall constructability and <br />quality of the deliverables. <br />Task Deliverables: <br />»Kick-Off Meeting: one (1) Kick-off meeting <br />»Bi-Weekly Meetings: Consultant shall schedule, prepare for, and lead bi-monthly <br />progress meetings with the City Project Manager to inform progress and review <br />outstanding and future action items. Meetings are anticipated to take place via video <br />conference call. Up to 12 of these bi-weekly meetings shall be scheduled for the project <br />to corresponds to an eight-month design phase. Up to 6 design review meetings shall be <br />scheduled for the project to discuss specific components of the design. Consultant shall <br />prepare the meeting minutes within a week after the meeting. <br />»Project Coordination: Consultant project manager and task managers shall supervise, <br />coordinate, and monitor the planning and design of the project for conformance with <br />standards and policies established between the City and the Consultant at the beginning <br />of the project. Consultant shall coordinate with the City, stakeholders, and with various <br />planning and design functional groups for the delivery of products. In addition, Consultant <br />shall maintain an accessible project folder, either Dropbox or SharePoint, for City staff and <br />the design team to share files and work collaboratively.
