A <br />separate agenda item on tonight’s meeting will request approval of a different agenda management <br />system that will replace Hyland’s agenda component at the end of the fiscal year. <br />Staff would like to amend the current agreement with Hyland to authorize payments for work performed <br />in 2023 and 2024 and to extend the agreement to May 31, 2025, in part to ensure continuity in service as <br />the City transitions to the new agenda management system. Hyland will continue to provide support for <br />the contract management system, and any future agreements beyond May 31, 2025 with Hyland to <br />provide contract management will be managed by the IT Department. <br />FISCAL IMPACT <br />City staff seeks to increase the current agreement with Hyland by $52,275, with a total agreement amount <br />not to exceed $282,275. As referenced earlier, the Parties continued to work together to ensure <br />continuation of software maintenance services even after Amendment No.1 had expired, and <br />Amendment No. 2 includes payment for services rendered and future services to be provided. Funding <br />for this agreement is included in the department’s operating budget under the Information Technology <br />program for Software Maintenance and Support. <br />Original Agreement $150,000 January 24, 2018-March 24, 2020 <br />Amendment No. 1 $80,000 March 25,2020-March 24, 2023 <br />Amendment No. 2 (Proposed)$52,275 March 25, 2023-May 31,2025 <br />Total $282,275 January 24 , 2018-May 31, 2025 <br />ENVIRONMENTAL REVIEW <br />This activity is not a project under California Environmental Quality Act (CEQA) as defined in CEQA <br />Guidelines, section 15378, because it has no potential for resulting in either a direct or reasonably <br />foreseeable indirect physical change in the environment. <br />PUBLIC NOTICE <br />Public notification was achieved by posting the agenda, with the agenda items being listed, at least 72 <br />hours prior to the meeting. <br />ALTERNATIVES <br />6.E. - Page 2 of 57 <br />166
