Pump Repair Service company
is able to provide the full scope of services for the several different types of pumps in our storm
utility system.

Redwood City currently has 22 pump stations housing approximately 36 storm pumps of varying
sizes and makes throughout the City, including the new Cinema Garage pump station. Each
pump is controlled and operated by either electric motor or by diesel engine. These pumps
require routine scheduled maintenance. periodic repair, overhaul and replacement of worn
parts, and at times complete replacement. The demand on storm pump stations operation is
seasonal (rainy season); the summer months are the best timeframe for completing and
scheduling maintenance and repairs. Establishing the agreement now allows the staff to
prepare for the next maintenance schedule for pump services, as well as respond to emergency
pump repair needs during the rainy season.

Staff is recommending approval of an agreement to retain the services of Pump Repair Service
Company based on the responsiveness of the proposal and the vendor's long history of good
service to the City of Redwood City. The proposed agreement is for the not to exceed amount
of $195,000, based on the approved operating budget for pump, motor and flap gate repair
services.

ALTERNATIVES
Direct staff to solicit individual quotes, on an as-needed basis; however, this could place the City
in a vulnerable position if one of these pumps fails. Repair and reconditioning of pumps is
critical and delay due to the time involved to solicit bids puts the City at risk.

Direct staff to solicit additional vendors from a broader geographical area; however, proximity to
the City is important to the ability of the vendor to render timely repair and service to the pumps
for the same crucial vulnerability issues identified above.

FISCAL IMPACT
The amount of $195,000 for these services, is contained in the Public Works Services proposed
Fiscal Year 2009-10 operating budget.

;J:~~k(f

o Public Works Services Director

Peter Ingram
City Manager

ATTACHMENTS
None

RELATED DOCUMENTS IN CITY CLERK'S OFFICE
None
