The additional software licenses were needed to enable the workforce <br />to operate effectively with the new Financial Software and Services as part of the ERP system. <br />On June 24, 2024, Amendment No.5 to the agreement with CRT was executed, to renew for one additional <br />year and extend software support services for the City’s Enterprise Resource Planning (ERP) system <br />through May 30, 2025. <br />On July 22, 2024, Amendment No.6 to the agreement with CRT was executed, to renew the Global <br />CherryRoad/Oracle Cloud Services Agreement and authorize the CherryRoad Cloud Services Ordering <br />Document. <br />On November 8, 2024, Amendment No.7 to the agreement with CRT was executed, to increase needed <br />technical expertise support service hours for Oracle ERP/HCM system. <br />ANALYSIS <br />While Amendment No. 7 expired on May 31, 2025, the parties continued to work together to ensure <br />continuation of services. Amendment No. 8 formally renews cloud and subscription services and extends <br />support services and expert support hours for the City’s ERP/HCM system through May 31, 2026. <br />Change Order: Executing Renewal Option 2 <br />The City previously purchased cloud-based and subscription software support services under its <br />agreement with CherryRoad Technologies (CRT). The City is currently in the first option period of the <br />agreement. Staff recommends exercising the next renewal option to extend these services through May <br />30, 2026, for a total amount not to exceed $653,517.92 <br />Extending Expert Support Hours <br />Amendment No. 7 increased as needed support service hours by an additional 800 hours through May 31, <br />2025. This amendment extends the availability of these additional hours to May 31, 2026 to allow <br />continued use of the authorized support service hours. <br />FISCAL IMPACT <br />$653,517.92 has been allocated to this contract from the existing budget for the ERP project in the <br />Information Technology Program to continue software support services for the City’s ERP system. <br />6.H. - Page 3 of 187 <br />155
