Page 3 of 4 <br />City of Redwood City 1017 Middlefield Road, Redwood City, CA. 94063 Tel: 650-780-7000 www.redwoodcity.org <br />ANALYSIS <br />The bids received are summarized below: <br />Bidder Bid Price <br />ACCO Engineered Systems, Inc.$985,121 <br />Trahan Mechanical, Inc.$1,022,100 <br />As seen above, ACCO Engineered Systems, Inc. is the lowest responsive and responsible bidder. It is <br />common to identify the need for change orders in the construction industry once work begins. Therefore, <br />staff generally factor in contingency funding to facilitate these needs when projecting final costs. Staff <br />recommends approval and authorization for the City Manager to execute contract documents with ACCO <br />Engineered Systems, Inc. for a total amount not to exceed $985,121 and authorization for the City <br />Manager or their designee to increase the contract amount, if necessary, up to 15% of the amount <br />awarded in an amount not to exceed $147,769 for a total amount of $1,132,890. <br />EQUITY IMPACT STATEMENT <br />All City actions are assessed for impact. Because this item is on the consent calendar, this section <br />indicates assessment process, not findings. The anticipated impact of this policy, program, or action has <br />not been assessed, as relevant data is not currently available. <br />FISCAL IMPACT <br />Funding in the amount of $700,000 is currently available in the HVAC Replacement Program to be <br />allocated to the project. Staff will submit a mid-year budget transfer request to shift an additional <br />$135,000 of unused funds from the Roof Replacement Program to the HVAC Replacement Program. All <br />remaining funding and any contingency needs will be covered by the Tenant Improvement Program <br />Account within the Capital Outlay Fund. <br />ENVIRONMENTAL REVIEW <br />This project meets the CEQA exemption criteria as set forth in CEQA Guidelines Section 15301 (Class 2 – <br />Replacement or Reconstruction) in that it involves the minor alteration of existing City Facilities with <br />negligible or no expansion of an existing use. <br />PUBLIC NOTICE <br />8.G. - Page 3 of 4 <br />186
