REV: 11-26-25 LR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />Task 1 – Project Management & Administration – $49,791 <br />Kick-off Meeting <br />Within one week after the contract execution, City’s project manager and Consultant staff <br />will have a kick-off meeting (or meetings) to discuss the project goals and scope and to <br />finalize the schedule. The kick-off meeting shall incorporate an in-person site visit. The <br />Consultant shall set up and manage the project, provide utility coordination, perform <br />quality assurance and quality control prior to each milestone submittal and in <br />conformance to Federal, State, and City standards. Also, new data collection and <br />surveying extents will be discussed at this meeting. A Basis of Design Memo and design <br />element matrix will be generated as living documents to track the direction throughout the <br />life of the project. <br />Check-ins <br />For better coordination and to keep the project on schedule, the Consultant project <br />manager and the City project manager will have bi-weekly or monthly remote check-ins. <br />Specific technical staff and other stakeholders will be included in the bi-weekly meetings, <br />when needed, with direct communication opportunities for evaluation of design options, <br />eliciting innovative approach alternatives, and directing the design. <br />During the design process, City project manager and Consultant staff will have meetings <br />to review and discuss major deliverables as needed. Meeting frequency to be determined <br />by the City’s project manager. Potential timing of the first in-person meeting (after kick-off <br />meeting) is after execution of the Consultant agreement. <br />General Administration <br />Consultant shall perform internal quality assurance and quality control reviews prior to <br />submitting all deliverables. <br />Deliverables: <br />Meeting agendas and action minutes with schedule updates (as needed) <br />Monthly invoices with project billing summary and summary progress report <br />Quality assurance and quality control reviews prior to milestone deliverables <br />Task 2 – 65% Design and Estimates – $95,308 <br />Based on City’s direction, as provided by the City’s project manager, Consultant’s <br />professional recommendations, and discussions at the kick-off meeting, the Consultant <br />shall develop 65% plans, specifications, and estimates (PS&E).
