REV: 12-19-25 VR <br />EXHIBIT “A” <br />SCOPE OF SERVICES AND FEE <br />Deliverable I: <br />Organizational Combing & Discovery: As the partnership kicks off, we will meet with City staff <br />project leads and key consultant support to better understand the history, context, and current <br />realities. We will collect any/all relevant documentation and date related to past trainings and <br />conduct an initial document review. <br />Deliverable II: Support Employee Professional Development through the administration, <br />facilitation, and evaluation of employee resource groups (ERGs) <br />Year 1 (2025-2026) <br />o Support the reconstitution and relaunch of (in some cases dormant) ERGs: E&R will meet <br />with City staff project leads to better understand the history and status of all ERGs. <br />Together, we will co-design a path forward to relaunch any ERGs that have been on hiatus <br />(and perhaps launch new ones if there is an appetite for it). The relaunch plan will likely <br />include hosting a “What is an ERG?” orientation session as well as crafting a broader <br />internal communications plan to increase staff and supervisor awareness of ERGs and <br />sharing resources related to the benefit of ERGs as it relates to belonging and <br />personal/professional development. <br />o Prepare for and facilitate quarterly ERG meetings: E&R will tap into our nine-person team <br />to select appropriate facilitators for each ERG. Each facilitator will prepare agendas and <br />quarterly discussion topics to be shared with ERG participants in advance, while also <br />holding space for emergent conversations to meet participants’ needs as they arise. E&R <br />will facilitate all ERG meetings each quarter. <br />o Solicit and analyze feedback about the ERG spaces: E&R is deeply focused on equitable <br />impact for people in all of our work. We will use surveys, zoom polls, and other <br />mechanisms to regularly solicit qualitative and quantitative feedback from ERG-members <br />and to use the collected data in real time/ongoing to identify opportunities for continuous <br />improvement. <br />Year 2 (2026-2027) <br />o Reflect on What’s working/not with ERGs: E&R will meet with City staff project leads and <br />key consultant support to analyze and make-meaning of the data from Year 1 and adjust, <br />as necessary/appropriate for the greatest impact possible. <br />o Prepare for and facilitate quarterly ERG meetings: Unless the data from Year 1 suggests <br />a different cadence or approach, E&R will continue to facilitate quarterly ERG sessions for <br />each group, with each facilitator preparing and sharing agendas and quarterly discussion <br />in advance <br />ATTY/AGR.2025.347/Equity & Results (ERGs and Mentorship) (Page 11 of 14)
