REV: 12-03-25 LR EXHIBIT “A” SCOPE OF SERVICES AND FEE Task 1 – Project Management and Administration Consultant shall provide project management oversight of the project tasks and coordinate with the City throughout the project’s duration. This includes project administration, internal project coordination meetings, and quality control on all the deliverables. Consultant shall develop and maintain a project schedule, work plan, filing system, and process monthly invoices/progress reports. - Bi-Weekly Meetings: Consultant shall schedule, prepare for, and lead up to 8 monthly progress meetings with the City Project Manager to inform progress and review outstanding and future action items. Meetings are anticipated to take place via video conference call. The kick-off meeting shall be in-person. Consultant shall also hold up to six design review meetings after key deliverables or outreach meetings to discuss specific design elements. - Project Coordination: Consultant project manager and task managers shall supervise, coordinate, and monitor the planning and design of the project for conformance with standards and policies established between the City Engineer or their designee and Consultant at the beginning of the project. Consultant shall maintain an accessible project folder for City staff, County staff, and the project design team to share files and work collaboratively. Bay Road is within Redwood City and County of San Mateo jurisdictions. All design reviews, public outreach, and design decisions will be coordinated with the County of San Mateo. - Project Administration: Consultant shall prepare and maintain a project schedule, prepare monthly invoices, prepare monthly progress reports during the design phase, provide bi- weekly email status updates, coordinate with subconsultants as necessary. - Quality Control and Quality Assurance: Consultant shall have a QC/QA approach throughout the development of each project deliverable to review overall constructability and quality of the deliverables. - Monthly Updates, Progress Summary, and Invoices: Consultant shall provide the City Engineer or their designee with monthly invoices, progress summaries and updates.
