Mott MacDonald | RWC GSP and 4-Track Hub Station Planning <br />WDPR 11680 <br /> <br /> <br /> <br /> <br /> <br />Page 2 of 13 <br />progression of long-term improvements in Redwood City related to the grade <br />separation and expansion of the passenger railroad corridor. <br />The key outputs of this effort will be the identification of next steps required to <br />implement the potential build alternatives, including environmental processes, <br />funding opportunities and positioning, and engineering and construction <br />constraints. Analyzing these components before major engineering work is <br />undertaken is intended to support early collaboration with the necessary <br />stakeholders to drive this project towards the next steps. <br />1.1 Task 1 Project Management <br />The Mott MacDonald Team understands that delivering projects on time and on <br />budget is critical. Upon receipt of Notice to Proceed (NTP), Shruti will prepare a <br />Project Management Plan (PMP) which will include the project scope, project <br />goals and objectives, the communication plan, work order schedule, and the <br />QA/QC Plan. The development of a PMP will be the first step to confirm all team <br />members are properly aligned in the timely delivery of project goals. <br />A Project Kick-Off Meeting will be conducted at Project start-up. The Mott <br />MacDonald Team proposes three different meeting groups to progress project <br />milestones and coordinate on deliverables: <br />1. Core Leadership Team Meeting: Comprised of the task leads from <br />Caltrain, Redwood City, and the Mott MacDonald Team, this meeting will <br />provide the avenue to coordinate on overall project progress and goals. <br />2. Internal Team Coordination Meetings: Comprised of technical staff <br />within the Mott MacDonald Team, these meetings will be used to discuss <br />finer details on deliverables, reviews, and next steps throughout the <br />project. <br />3. Caltrain/Redwood City Leadership Check-ins: Comprised of staff <br />from Caltrain, Redwood City, and the Mott MacDonald Project Manager, <br />these meetings will discuss technical aspects of the project and receive <br />feedback on project milestones. <br />Each meeting will convene up to ten (10) times for the duration of the project, or <br />roughly every three (3) weeks. <br />Deliverables: <br /> Draft and Final Project Management Plan <br /> Agendas, minutes, and action items for the following meetings <br /> Core Leadership Team meetings (up to 10 virtual meetings) <br /> Internal Team Coordination meetings (up to 10 virtual meetings) <br /> Caltrain/Redwood City Leadership Check-ins (up to 10 virtual meetings) <br /> Monthly project progress reports corresponding to each invoice <br />1.2 Task 2 Technical Evaluation <br />1.2.1 Task 2.1 Conceptual Engineering/Construction Phasing <br />The objective for this task will be to address the key questions related to the <br />feasibility of project delivery for the five grade separations/closure of Maple <br />ATTY/AGR.2025.069/Caltrain (MOU with Caltrain- Grade Separation Project) (Page 12 of 18)
