REV: 03-30-26 VR <br />Exhibit “A” <br />SCOPE OF SERVICES AND FEE <br />SCOPE OF SERVICES <br />Overview <br />The Consultant Team (GBS or subconsultant) will complete the remaining scope of services from the <br />Original Agreement, getting the Project ready to advertise. This work will include continued oversight of <br />both the Design consultant and the R/W consultant; managing current funding and obtaining additional <br />funding, if needed; and, overseeing and implementing the Communications Plan prior to construction. <br />In addition, the Consultant Team will manage the Project through construction and closeout. This work <br />will include coordinating with Caltrans as they advertise, manage, and complete the Construction phase; <br />overseeing and implementing the Communications Plan during construction; and, representing the City <br />during construction. <br />The Scope identified below is supplemental to the Tasks and Subtasks required as part of the Original <br />Agreement. <br />Task A – Project Management and Partnership Oversight <br />Task A.2 Project Meetings and Communication <br />A.2.1 Manage Team & Communications <br />As the Project Team lead, the Consultant PM will oversee implementation of the Project Communications <br />Plan (Comms Plan) by Apex Strategies through the remainder of the PS&E and R/W Phases, as well as the <br />Construction Phase. The Comms Plan specifies how information flows between Team members and <br />external audiences including City staff, City Council, and stakeholders. Key responsibilities include: <br />Convene and document monthly virtual Public Information Officer (PIO) meetings, as needed, <br />with Consultant, City, and Caltrans PIO staff, and potentially SMCTA staff or C/CAG staff as <br />needed. <br />Review reports created by on-site construction outreach person/team. <br />Touch base with on-site construction outreach person/team to review look ahead schedule and <br />community-related issues at least bi-weekly. <br />Create public facing FAQs, PPTs, and factsheets as appropriate with current information regarding <br />construction activities at key construction milestones. <br />Monitor and update website. <br />Monitor and address questions and concerns coming from website. <br />Work with on-site construction outreach person/team to track and resolve community <br />concerns/complaints. <br />Draft press releases and social media posts, as requested. <br />Create and manage project-related social media. <br />Work with Caltrans and the City on project milestone events (ground breakings, openings, interim <br />milestones, etc.) as lead by Caltrans PIO team. <br />Support City PIO and Caltrans PIO on press inquiries and press releases. <br />ATTY/AGR.2026/Amend.
