REV: 03-30-26 VR <br />Support speaker’s bureau requests through scheduling, attendance, PPT creation, and event <br />documentation. <br />Support proactive stakeholder engagement as necessary and requested. <br />Attend bi-weekly virtual construction meetings. <br />A.2.2 Internal Project Team Meetings <br />City PM / PM (a.k.a. Transportation Manager/GBS PM) Meetings: After the first year, or once <br />construction begins, these will become monthly meetings. <br />Project Leadership Team (PLT) Meetings: Once the Project is under construction, these meetings will be <br />held on an as needed basis. <br />A.4.1 Utility and Right of Way Certification <br />Consultant will lead the effort to make sure all utility relocations are coordinated with and approved by <br />the utility companies with support from the design consultant to achieve R/W certification. <br />Once parcels are acquired, the property must be cleared to prepare for construction. Consultant will lead <br />this effort with the City’s acquisition staff and the R/W Consultant. For the City’s Corporation Yard parcel, <br />the Team will work directly with the City’s Public Works Services Department, as requested, to relocate <br />any facilities which conflict with the Project, with adequate time to prepare for these changes. <br />A.4.4 Plans, Specifications, and Estimates Management Oversight Services <br />Consultant will oversee design consultant (AECOM)’s delivery of an acceptable PS&E package to Caltrans <br />that is biddable and buildable, including the following activities: <br />Engage in, and lead when requested, monthly Project Development Team meetings (6 total <br />budgeted in Task A.2.2) and other focus meetings (4 total) that may be required to resolve <br />technical project issues. <br />Assist in the development of a procurement package and selection process for the design of the <br />landscape contract and tree removal contract. <br />Provide design oversight of the landscape and tree removal design work. <br />Provide oversight of the tree removal construction contract. <br />Engage UPRR for the execution of reimbursement, construction, and maintenance, and right of <br />entry agreements. Ensure that AECOM provides the plans necessary to secure UPRR approvals. <br />Provide Quality Assurance activities for submittals to external agencies (Caltrans, UPRR, <br />environmental, etc.). <br />A.4.5 Complete Caltrans’ Advertisement Processes <br />Consultant will work with Caltrans and the design consultant through the Office Engineer to achieve Ready <br />to List, collaborate with Caltrans on an industry outreach prior to advertisement; participate in the <br />advertisement process, including preparation for a pre-bid meeting, assisting with responses to bidder <br />inquiries and assisting with addenda preparation as may be required, see that questions are answered <br />and any issues resolved; and contribute input to the contract award process to ensure the contract is <br />executed promptly. <br />ATTY/AGR.2026/Amend.
