<br />1.6 Program Reporting and Invoicing <br /> <br />Progress Reports <br />The ECT shall prepare and submit prepare a sample Progress Report for ER}.fT revie':/. The sample <br />Progress Report shall in elude a summary of the work performed duriBg the previous month, a <br />summary of hours by task performed during the preyious month, a budget status, a sehedule status, an <br />identifieation of issues with suggested resolutions, and a summary of the v,'ork to be performed during <br />the next month. The ERMT shall provide eonsolidated reeommeBdations, modifieations, and <br />commeats on the sample Progress Report. The ECT shall prepare a fiaal sample Progress Reports te <br />be used as the template for Progress Reports throughout the term of the Project. The Progress Report <br />template may be modified from time to time, as appropriate. <br /> <br />Invoicing <br />The ECT shall submit a monthly Progress Report and invoice to the City including the direct cost <br />items and subcontractors. A Progress Report shall be provided to the ERMT to monitor the scope, <br />the schedule, and issues with resolutions. <br /> <br />1.7 Program Safety Plan <br /> <br />The ECT shall prepare the Program Safety Plan that shall establish procedures for the ECT while in <br />the field. The procedures shall include required equipment, reporting, and safety training to be <br />conducted prior to the ECT conducting field work. Safety training programs shall be developed and <br />implemented in anticipation of Task 7.1 and shall include the requirements of the Program Safety <br />Plan as well as Cargill site safety procedures. Field personnel shall complete safety training prior to <br />conducting outings. Training shall include general site safety procedures as well as CPR and first aid <br />training. Safety equipment shall be maintained and utilized during outings. <br /> <br />1.8 Program Coordination <br /> <br />Ongoing Pprogram coordination shall be managed by the ECT Program Manager throughout the term <br />of the contract. Coordination shall be conducted with the City Project Manager, ERMT, City <br />Council, City Planning Commission, agencies, and the Applicant. <br /> <br />City Project Manager - The ECT's Program Manager shall communicate with the City Project <br />Manager as required to maintain City awareness of Project activities, deliverables, and issues. These <br />communications shall be maintained throughout the term of the Project. <br /> <br />ERMT - The ECT's Program Manager and Assistant Program Manager shall participate in ERMT <br />meetings. <br /> <br />City Council - The ECT's Program Manager shall attend City Council meetings as directed by the <br />City Project Manager. <br /> <br />Planning Commission - The ECT's Project Manager shall attend Planning Commission meetings as <br />directed by the City's Project Manager. <br /> <br />Agencies - The ECT's Program Manager and Assistant Program Manager shall attend meetings with <br />federal, state, and local agencies as directed by the City's Project Manager. <br /> <br />Applicant - The ECT's Program Manager and Assistant Program Manager shall participate in <br />meetings with the Applicant as directed by the City's Project Manager. <br /> <br />1.9 Task Order Development <br /> <br />The ECT shall prepare Task Orders including scope, schedule, and budget for future phases of the <br />Project program in coordination with the City's Project Manager. Each Task Order shall be reviewed <br />by the City and ERMT. The ECT shall prepare the final Task Orders based on the City and ERMT <br />recommendations for submittal to the City Council.
