6.18

Page 2
necessary to supplement or acquire parts for previously purchased equipment available
from a single source, ITT Water& Wastewater Flygt USA. In Fiscal Year2009-10, pump
replacements were identified for lift station #10 ($49,894.) and lift station #23 ($4,995.00),
fora total of $55,646, excluding taxes.

The firm is capable of performing repair services onsite at the lift stations. For pumps
requiring shop maintenance and repair, theyhave the necessary equipment to remove the
pumps and can provide temporary replacement pumps (rental) of the appropriate size
when pumps are pulled from service. This ensures that the sewer system is continually
situated for optimal performance.

The proposed contract value for pump repair services reflects the estimated cost of time
and materials for basic PM, repair and lor majoroverhaLlI services. Actual costs of any
pump servicing and repair is determined once the submersible pump is removed from the
lift station, disassembled and inspected. Therefore, depending on the condition of the
pump, the .cost of repair and services as defined in the Agreement fees could change. The
term of the Agreerrent expires upon completion of services on all 60 pumps ..~ motors in
the system at 30 of the City's 31 lift stations (excludes lift station 12, which is undergoing
major rehabilitation).

Alternative
Council could direct staff to issue a Request for Proposals t9 solicit these services from
other vendors. However, other vendors would need to purchase pump parts from the
manufacturer or its authorized regional distributor, which would also increase the service
costs. The City's experience with other vendors has been long delays in servicing pumps
and returning them to the system.

Fiscal Impact
Funds for the maintenance, repair and overhaul of the sewage pumps are contained in
the Public Works Services Department's Fiscal Year 2010-11 operating budget and
augmented by funds contained in the Sewer Fund Capital Projects under Pump &
Controls Replacement Program.

~/
Peter Ingram .
City Manager

ATTACHMENTS
1.
