The reports shall include actions expected to be taken and costs projected to be expended <br /> during the next year, any projected changes in the service plan, and any other information <br /> requested by the TA. Additionally, each progress report shall include information on any <br /> potential issues that may impact any of these performance measures as well as the ability <br /> of CITY to meet the conditions outlined in this Agreement. <br /> 1.5 Final Report. Within ninety (90) days of the end of the fiscal year (June 30), CITY <br /> shall furnish the TA a final report detailing information including, but not limited to, the <br /> following: <br /> a) Total costs for the Project, including an accounting of all New Measure A Funds <br /> expended in connection with the Project, and reflecting any unexpended New <br /> Measure A Funds that may remain. <br /> b) A description of the Project, including a statement detailing the overall progress <br /> and success of the Project, a compilation of data collected during the Project, and <br /> changes /additions to the scope of the Project. <br /> c) Any copies of press articles, press releases, newsletter articles and any other <br /> publicity materials regarding the Project. <br /> 1.6 Access to Records and Record Retention. At all reasonable times, CITY shall permit <br /> the TA access to all reports, designs, drawings, plans, specifications, schedules and other <br /> materials prepared, or in the process of being prepared, for the Project by the CITY or <br /> any contractor or consultant of the CITY. CITY shall also make available to the TA <br /> upon request any professional service agreements, change orders and any other <br /> agreements that are entered into for the performance of Project related work and services. <br /> The CITY shall provide copies of any documents described in this Section to the TA if <br /> the TA requests such documents. CITY shall retain all records pertaining to the Project <br /> for three years after completion of the Project. <br /> 1.7 Right to Audit. The TA, or its authorized agents, may, at any reasonable time during <br /> business hours, conduct an audit of the CITY's performance under this Agreement. The <br /> CITY shall permit the TA, or its authorized agents, to examine, inspect, make excerpts <br /> from, transcribe or photocopy books, documents, papers and other records of the CITY <br /> which the TA reasonably determines to be relevant to this Agreement. <br /> SECTION 2: Funding and Payment <br /> 2.1 Funding Commitment. All funding obligations of the TA under this Agreement are <br /> subject to the availability of funds in the annual budget of the TA. The TA has allocated <br /> to the CITY $47,900 for FY2011 and plans to allocate $50,000 for FY2012, totaling up <br /> to $97,900 over the two years for expenditures related to the Project ( "Project Costs "). <br /> The TA shall make this amount available to the CITY as provided in this Section 2.
