Redwood City submit any required reports (i.e., PERS, State of California, <br /> I RS). � <br /> 1.2.2 Access and authority necessary for City of Redwood City to initiate <br /> payments (either electronically or by check) from any City of San Carlos <br /> bank accounts from which the City of San Carlos desires such payments <br /> be made. <br /> 1.2.3 The City of San Carlos Administrative Services Director will <br /> designate San Carlos employees to be provided with online read-only and <br /> reporting access to the payroll system. The Administrative Services <br /> Director will also designate San Carlos employees who are responsible for <br /> making changes to payroll master employee data and provide properly <br /> authorized documentation of such to the City of Redwood City. <br /> 1.2.4 Uniform costs paid by the City of 5an Carlos for employees for the <br /> current calendar year will be provided to Redwood City by December 1 of <br /> each year. <br /> 1.2.5 Accuracy of all data in the payroll system provided to Redwood City <br /> is the responsibility of the City of San Carlos. <br /> 1.2.6 The City of San Carlos will cooperate in compiling 2011 W-2s for <br /> San Carlos employees. The preparation of the 4� quarter 2011 quarterly <br /> tax filings and preparation of 2011 W-2s will require the cooperation of the <br /> City of San Carlos' existing payroll processor (ADP). In the event that <br /> Redwood City identifies; significant deficiencies in the information provided <br /> by ADP, the Ciry of San Carlos agrees to pay the City of Redwood City <br /> reasonable charges in excess of normal processing to successfully <br /> complete 2011 W-2s. ' <br /> 1.2.7. The City of San Carlos employees will enter timecard data via a <br /> web interface, and San Carlos supervisors will approve timecards <br /> electronically with electronic signatures. If the web interface is not <br /> available, both the City �of Redwood City and the City of San Carlos will <br /> work together to ensure that the payroll is processed using manual <br /> timesheets. <br /> 1.2.8 San Carlos will enter the applicable hours and time code for <br /> disability leave. San Carlos will approve (or change) the hours charged to <br /> disability leave prior to payroll being run by Redwood City. Redwood City <br /> will provide reports with hours and earnings charged to disability time <br /> codes to San Carlos. <br /> 1.2.9 San Carlos will be responsible for obtaining at its own cost all <br /> licenses for software required to access the City of Redwood City's <br /> computer system. As of the date this agreement was executed, the only <br /> software the City of San Carlos will be required to obtain will be <br /> "Accuterm." The City of San Carlos will purchase and install Accuterm by <br /> August 29, 2011, and the City of Redwood City will coordinate the <br /> implementation of such software to access Redwood City's computer <br /> system in performing services related to the development of payroll <br /> software. <br /> 2011. 072 San Carlos Payroll Services 2 <br /> 081811 <br />
