• , i <br /> later at the request of the City of San Carlos at a cost to be negotiated and <br /> mutually agreed upon by both parties in writing. <br /> 4.2 Pavroll Services Fee. The initial cost will be $653.84 per pay period for <br /> San Carlos Fire Department employees only and $1,519.23 per pay period for all <br /> San Carlos employees (including Fire Department employees) through the final <br /> pay period that commences in June 2012. This fee will also cover the City of <br /> Redwood City's time to provide research for basic payroll tax and PERS matters. <br /> This fee will be adjusted annually in future fiscal years in an amount equal to the <br /> upcoming fiscal year salary and benefit costs of the City of Redwood City <br /> employees involved in providing these services, except that in no case shall the <br /> increase exceed three percent (3%) each year. Notwithstanding the above, if <br /> Redwood City's costs escalate beyond the 3% increase due to changes in such <br /> things as the PERS contribution and/or employee healthcare costs, the parties <br /> agree to meet and confer on the annual cost increase. Redwood City will provide <br /> notice of such adjustment to San Carlos in writing before March 1. <br /> 4.3 Monthlv Invoices. Redwood City will submit invoices to San Carlos <br /> monthly in arrears for the Services provided which must be paid within 30 days of <br /> receipt. <br /> 4.4 Other Compensation. <br /> 4.4.1 Saecial Proqramminq. The City of Redwood City currently has the <br /> programming in place to report the required earnings information to the <br /> State Controller (SC) for the Government Compensation in California <br /> website, which is mandated annually. The City of Redwood City will <br /> provide all data in the format required by the SC to the City of San Carlos <br /> for review and submittal, of the annual report. If additional programming is <br /> required due to changes in the reporting requirements, Redwood City will <br /> charge San Carlos the cost of programming necessary to comply with the <br /> new requirements. Such services will be provided at a cost to be mutually <br /> agreed upon by both paities in writing. Similarly, the City of Redwood City <br /> has the ability to respond to certain standard Public Records Act requests. <br /> If additional programming is required and San Carlos directs Redwood <br /> City to perform such programming, Redwood City will provide this service <br /> at a cost to be mutually agreed upon by both parties in writing. <br /> Upon San Carlos's request, Redwood City may provide other <br /> programming services. Time spent preparing any ad hoc reports that are <br /> developed by City of Redwood City Information Technology staff, and/or <br /> any enhancements to Redwood City's payroll software will be billed at the <br /> then-applicable hourly rate. For FY 2011-12 this hourly rate is $140.85. <br /> 4.4.2 Postaqe. The City of.
