After completion of the 35% plan and the cost estimate for Charter Street, Consultant will apply <br /> remaining construction budget, if any to 1) potential improvements along Stambaugh that are <br /> recommended in the Hoover Area Mobility Plan and 2) possible security improvements to the <br /> Woodside Road Pedestrian Bridge. The survey for these improvements, if needed, will be <br /> performed as part of the second survey move-in, so the initial base mapping for these <br /> improvements will be on the Google professional image. If construction budget is available for <br /> lighting or other telecom improvements to the Woodside Road Pedestrian Bridge, these can be <br /> added to the project plans and specifications via performance notes on the plans and lump <br /> sum bid items (no detailed electrical/telecom design for the bridge). <br /> "Page Turn" Meeting with Staff on 35% Submittal Day <br /> Bellecci Team will host a submittal meeting to discuss the conceptual design with City Staff. <br /> This meeting will be an opportunity to present our Team's proposed design solutions to assist <br /> City staff in their review. Bellecci can begin the design for the Public Outreach exhibits <br /> immediately following, and then incorporate the final 35% plan check comments from City staff <br /> after the review period. CONSULTANT will revise drawings and cost estimates based on <br /> comments from the City, if required. City to provide one set of revisions to consultant within <br /> three weeks receipt of the deliverables. Design Team will refine the plans during the next fin►o <br /> week period and deliver one full size sets, an electronic copy of the plan and cost estimate in <br /> PDF to the City. The refined plans will conform to the priorities established by the City after <br /> review of the cost estimate for conformance to the budget described above. <br /> Public Outreach — Part 1 <br /> Goals of the public outreach are to seek feedback on the conceptual designs and to prioritize <br /> the additional improvements that could be included in the project scope if there's money left in <br /> the construction budget. Parisi Transportation Consulting (PTC) will be leading the public <br /> outreach meetings. PTC will coordinate and facilitate a meeting with the school community <br /> and residents to finalize the project scope and design. Our translator Jungle Communications <br /> will be in attendance to facilitate small group discussions in English and in Spanish. If the <br /> attendance is minimal (15 or fewer adult residents), up to two small stakeholder meetings may <br /> be needed; location and time to be identified by the City. This added outreach would be <br /> handled as an additional service. Consultant will provide snacks at the community meeting <br /> using the reimbursable budget. <br /> Translation/Interpretation and Flyers <br /> Task 1� Flvers/Postcards Advertisinq the Meetinq: <br /> Jungle Communications will 1) Translate provided meeting details to create a Flyer indicating <br /> time, location, summary of agenda; 2) Provide basic Graphic Design, typeset and create two- <br /> sided 8.5" x 11" meeting Flyer — in PDF format to be printed and distributed by City; and 3) <br /> One side of flyer will be in English / Second side will be in Spanish. Prior to printing, City staff <br /> will review draft flyer and provide one round of edits / feedback, if any to Jungle <br /> Communications. <br /> Task 2� Interpretation & Translation Meetina Services <br /> Jungle Communications will 1) Provide one interpreter who can provide up to 2 hours of <br /> Simultaneous Interpretation or 2 hours of breakout group presentation in Spanish to audience. <br /> If the meeting are scheduled for over 2 hours, a Spanish speaking City staff or the use of the <br /> Peninsula Conflict Resolution Center (PCRC) organization may possibly facilitate —City will <br /> confirm if there's a Spanish speaking facilitator with PCRC; 2) Translation of pre-meeting <br /> prepared notes/agenda (up to 3 pages), from English to Spanish — assume will be sent to <br /> translator by the project engineers and/or City; and 3) Translation of any provided Q&A or <br /> REV:09-26-13 VR <br /> ATTY/AGR/2013.169/BELLECCI&ASSOCIATES Page 17 of 38 <br /> CHARTER ST.SRTS <br />
