Task 10.1 -Develop a Community Outreach Plan <br /> CONSULTANT will prepare a Community Outreach Plan document early on in the project. <br /> Work on the Community Outreach Plan will commence after a kick off ineeting with CITY staff <br /> and will be completed in draft form within 30 days. CONSULTANT will submit the draft <br /> Community Outreach Plan document to the CITY for one round of review and comment. <br /> The Plan will outline project communication protocols and clarify roles between the CITY and <br /> the CONSULTANT. It will outline in detail the timing and preparation needed for each <br /> community meeting. It will identify stakeholders and provide a detailed strategy for how best to <br /> gain input from various stakeholder groups (i.e. phone, in person stakeholder meetings, <br /> attendance at already organized stakeholder group meetings to present the project, or encourage <br /> attendance at the community meetings, etc.). <br /> The Plan will also document the website strategy, strategy and timing regarding project fact <br /> sheets and their updates; the survey timing and strategy as well as the media protocols. A <br /> graphic element will be included in the Plan that will summarize the timing strategy for the <br /> community outreach efforts. <br /> Task 10.2-Project Webpage <br /> CONSULTANT will provide the CITY with various project information necessary for <br /> maintaining and updating the project webpage on the main CITY website. The information to be <br /> provided includes project e�ibits of the main alternatives, PowerPoint Presentations, Project <br /> Fact Sheets, and other figures or renderings as deemed appropriate. The information to be <br /> provided is from other task deliverables. <br /> Task 10.3-Fact Sheets <br /> CONSULTANT will prepare and distribute on the CITY website a factsheet regarding the <br /> project purpose, scope and schedule. The factsheet will include an introduction, project <br /> background, project status & schedule, and project funding. It is assumed that two rounds of <br /> updates will be completed over the duration of the project. <br /> Task 10.4 - Community Planning Meetings, Council Study Sessions, & Environmental <br /> Process Meetings <br /> CONSULTANT will prepare for, facilitate and attend up to three (3) planning oriented <br /> community meetings, four (4) Council Study Sessions and two (2) community meetings in <br /> support of the Caltrans environmental process (a scoping meeting and a meeting to explain and <br /> take comments on the Draft environmental document) during the duration of the project. This <br /> will involve a total of nine (9)meetings. <br /> The first set of community (#1) and Council Study Session (#1) meetings will focus on an <br /> overview of the Project and its purpose and schedule, existing conditions will be reviewed and <br /> the community and Council will add input on how and what to consider for possible solutions. <br /> The format is envisioned to be very interactive and community friendly use of displays, dots and <br /> maps are anticipated for the community meeting.
