Consultant shall develop meeting agendas, <br /> comment cards, in Spanish and English as needed, as well as a glossary of <br /> planning terms, if needed. <br /> Staffing the Meetings. Consultant shall provide 2 persons who shall be bi-lingual to <br /> assist at the meetings with set-up, breakdown, sign-in. Consultant shall provide sign- <br /> in sheets, agendas, comment cards, and the preparation of handouts, including <br /> writing and design. We shall provide experienced facilitators, up to two as needed. <br /> As an alternative, we can also provide a facilitator and graphic recorder who can <br /> capture meeting comments/questions and answers in real-time on wall-sized paper <br /> using colorFul markers. This creates a sense of the history, and visually <br /> demonstrates that all comments shall be valued. It also avoids excessive repetition <br /> of comments and can be used by the Consultant facilitator, or staff, to provide a <br /> meeting wrap-up, summary of comments, at the meeting's conclusion. <br /> Meeting Summary. Consultant shall provide a visually-pleasing (graphically <br /> designed) written meeting summary incorporating photos of participants, project <br /> background, format, meeting displays, discussion, all questions/comments, and <br /> next steps. <br /> Deliverables: <br /> • Electronic (HTML) version and artwork of the meeting notice/invitation and poster <br /> • List of completed phone calls and copies of emails to community organizations and <br /> key stakeholders <br /> • Staffing for two community meetings <br /> • Meeting materials, including agenda, sign-in sheets, and comment cards <br /> • Meeting Summary <br /> Task 6: Potholinq <br /> The Consultant shall conduct potholing for this project to locate existing underground <br /> utilities and avoid potential underground utility conflicts. Quotations shall be sought from <br /> pothoting contractors for this work as potholing needs arise and at a cost not to exceed <br /> $12,000.00. <br /> Task 7: Construction Enqineerina/Suaport <br /> The Consultant shall provide the following assistance during bidding of the project: <br /> ► Attend a pre-bid meeting with the City, if needed <br /> ► Review and respond to inquiries by Contractors during bidding via email to the City <br /> ► Prepare any addenda to the plans and specs prepared by Consultant in electronic copy <br /> pdf format <br /> The Consultant shall provide the following assistance during construction of the project: <br /> ► Attend pre-construction meeting, if requested by Redwood City. <br /> ► Assist contractor with plan interpretation during construction. <br /> ► Prepare minor addenda to clarify plan intent. <br /> REV:04-11-14 VR <br /> Page 16 of 20 <br /> ATTY/AG R.2014.053/TJ KM_175742 <br />
